This is a fully remote position, open to applicants in Philippines.
• Summarize each executed lease and amendment into the lease database, capturing details such as rent, escalations, CAM/tax/insurance terms, options, notice windows, exclusives, and co-tenancy.
• Manage the critical date calendar, ensuring timely notifications for options, renewals, termination rights, TI deadlines, insurance renewals, and estoppels.
• Organize and file leases, amendments, estoppels, SNDAs, and consents, while maintaining well-indexed digital lease files.
• Establish rent records at the start of leases and keep records of escalations, amendments, and abatements up to date.
• Validate monthly billing against lease agreements prior to payment and prepare payment documentation for the Accounting department.
• Oversee outsourced CAM and tax audits, review results, and track approved claims for credits or refunds.
• Review year-end reconciliations and rectify any discrepancies.
• Monitor real estate tax bills and assessments, verify pro-rata shares, and identify potential candidates for protest.
• Issue and manage certificates of insurance for all locations.
• Track landlord obligations and inform landlords when their responsibilities are not being met.
• Maintain W-9 forms, as well as records for landlords, property managers, payment instructions, and controls for banking changes.
• Assist with franchisor and lender consent, estoppel, and reporting inquiries.
• Serve as the primary contact for property managers on a daily basis.
• Prepare and submit TI allowance draw packages and monitor their receipt.
• Support back-charge claims and portfolio activities, including closures, relocations, assignments, and subleases.
• Ensure the accuracy of the lease database and generate recurring reports.
• Draft and maintain standard operating procedures (SOPs), and assist in defining, training, and supervising a future associate role.
• A minimum of 4 years in U.S. retail or commercial lease administration, lease accounting, or property accounting, preferably with multi-site portfolios.
• Proficient in reading and accurately abstracting U.S. shopping-center leases, including details on CAM, tax, and insurance pass-throughs, caps, exclusions, options, and notice requirements.
• Knowledgeable in CAM and real estate tax reconciliations, with the ability to identify incorrect charges and advocate with landlords or audit firms.
• Experience in managing certificates of insurance according to lease-specific criteria.
• Proficient in advanced Excel.
• Strong written and verbal English skills for effective and professional communication with U.S. landlords and property managers.
• Exceptional attention to detail and follow-through, with comfort in managing a deadline calendar where missed dates can have financial implications.
• Preferred: a degree in Accounting, Finance, Real Estate, Business, or Law.
• Preferred: familiarity with lease administration platforms, e-signature tools, and ERP/AP systems.
• Preferred: experience supporting a growing portfolio (new openings, TI collection) or collaborating with a U.S.-based team while located offshore.
• Full-time position, Monday–Friday, night shift.
• Must possess a computer or laptop equipped with a webcam.
• Reliable high-speed internet connection required.
