This is a fully remote position, open to applicants in Texas.
• Oversee and manage the Executive Director's calendar, including appointments, meeting schedules, and follow-up tasks.
• Facilitate both internal and external meetings, which involves scheduling, sending invitations, preparing agendas, gathering materials, taking notes, and following up on action items.
• Create, proofread, and format various forms of correspondence, summaries, reports, presentations, and professional documents.
• Provide assistance with training registrations, travel documentation, expense reports, purchasing requests, and other operational requirements.
• Organize and maintain electronic files, task trackers, meeting records, action items, and departmental documentation using effective version-control and record-keeping practices.
• Structure documentation associated with reporting processes, data requests, data governance, strategic initiatives, and executive briefings.
• Format, compile, and organize materials for presentations, committee meetings, executive updates, and communications from Institutional Research.
• Act as a liaison between the Executive Director and both internal and external stakeholders.
• Draft communications, follow-ups, status updates, and reminders; monitor responses, deadlines, and action items.
• Coordinate the logistics for meetings, reporting cycles, committee activities, and Institutional Research events.
• Operate independently in a remote setting during designated work hours while providing regular updates on task status.
• Identify any missing information or clarification needs and escalate them to the Executive Director.
• Manage sensitive and confidential information in accordance with institutional policies, FERPA, and relevant privacy regulations.
• Carry out additional duties that support Institutional Research and departmental operations.
• High school diploma is required.
• A minimum of four years of relevant experience.
• Proficiency in word processing, spreadsheet, and database applications.
• Ability to manage multiple tasks and collaborate effectively with others.
• Excellent verbal and written communication abilities.
• Strong interpersonal and organizational skills.
• Capability to handle sensitive information while maintaining confidentiality.
