This is a fully remote position, open to applicants in Florida.
• Provide daily administrative and coordination support to the SVP of Marketing as well as the broader Marketing & Communications team.
• Oversee calendars, scheduling, correspondence, presentations, reports, expenses, and other administrative requirements.
• Anticipate needs, prioritize tasks, and assist in ensuring the team's efficient operations.
• Organize internal and external meetings, including scheduling, preparing agendas, gathering materials, and following up on action items.
• Manage travel arrangements, itineraries, and related logistics for executives.
• Reconcile corporate credit card expenses while maintaining complete and timely documentation.
• Coordinate with vendors who support Marketing & Communications initiatives, including research, quotes, scheduling, and daily communication.
• Assist with event logistics, such as producing printed event materials, coordinating with vendors, managing proofs, approvals, and delivery schedules.
• Aid in the preparation, routing, and tracking of NDAs, contracts, and other documents through internal review and approval processes.
• Keep team files, SharePoint sites, templates, and other shared resources organized.
• Contribute to enhancing administrative processes, tools, and methods of working.
• Provide research, coordination, and administrative support for various Marketing & Communications projects and initiatives.
• Undertake special projects and additional responsibilities that promote the team's effective operation.
• A minimum of 3 years of experience in administrative, marketing, communications, project coordination, or a related field; relevant internships may be considered.
• Bachelor's degree or an equivalent combination of education and experience.
• Exceptional organizational and time management abilities.
• Clear and concise written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint), project management tools, and communication platforms.
• Sound judgment and discretion when dealing with confidential or sensitive information.
• A proactive, solutions-oriented mindset with the ability to anticipate needs, take initiative, and solve problems independently.
• Strong interpersonal skills with the ability to foster effective relationships with executives, colleagues, vendors, and other stakeholders.
• Ability to collaborate effectively across functions, levels, and time zones.
