This is a fully remote position, open to applicants in Kenya.
• Participate in leadership and team meetings, documenting decisions, action items, responsible parties, and deadlines.
• Draft and distribute written summaries of meetings on the same day.
• Actively follow up on pending action items until they are completed, reassigned, or deliberately closed.
• Engage with employees and senior leadership to gather updates and ensure progress on tasks.
• Manage leadership tasks in ClickUp, ensuring assignments are current, visible, and followed up on.
• Identify and highlight overdue or at-risk tasks.
• Provide leadership with a weekly summary of outstanding, overdue, and at-risk items.
• Coordinate calendars and meetings for the leadership team and external contacts.
• Assist in scheduling, rescheduling, and coordinating meetings.
• Maintain precise records and administrative documentation.
• Log all working hours using Clockify.
• Support leadership with additional administrative tasks as assigned.
• Independently manage priorities and proactively identify items needing attention.
• Embrace expanded responsibilities, tools, and processes as the business evolves.
• Minimum of 1 year of experience in an administrative, administrative assistant, executive assistant, coordination, or a similar role.
• Exceptional written and verbal English skills.
• Strong organizational and follow-up abilities.
• Comfortable communicating with individuals at all levels, including senior leadership.
• Capability to manage multiple tasks, priorities, and deadlines concurrently.
• Keen attention to detail with the ability to maintain accurate records.
• Proficient in using ClickUp or similar task/project management tools.
• Familiar with Slack and Google Workspace.
• Comfortable utilizing AI tools like ChatGPT or Gemini.
• Dependable, proactive, and eager to learn.
• Ability to work independently in a fully remote setting.
• Capable of handling confidential information with professionalism.
• Preferred: experience in supporting executives, leadership teams, founders, or senior management.
• Preferred: experience in attending meetings and preparing notes or summaries of action items.
• Preferred: experience in tracking and following up on tasks and deadlines.
• Preferred: background in performance marketing, affiliate marketing, lead generation, or digital marketing.
• Strong time management and organizational skills.
• Proactive follow-through and accountability.
• Ability to prioritize competing tasks effectively.
• Strong problem-solving and critical thinking capabilities.
• Adaptability and a willingness to take on new responsibilities.
• High level of confidentiality and professionalism.
• Full-time contractor role – 40 hours per week.
• 10 paid vacation days per calendar year, available after 6 months of contract employment.
• Quarterly performance bonus of up to 10% of quarterly base salary, based on efficiency, collaboration, and innovation, subject to company financial performance and eligibility after 6 months.
