This is a fully remote position, open to applicants in Philippines.
• Initiate new projects within Ignite CRM and QuickBooks.
• Develop and manage project estimates in QuickBooks.
• Gather and organize essential project documents throughout the lifecycle of the project.
• Conduct weekly project tracking and generate monthly project reports.
• Acquire certificates of insurance and additional insured endorsements from insurance agents.
• Apply principles related to General Liability, Umbrella, Workers Compensation, Excess policies, experience modification rates, and Workers Comp class codes.
• Oversee OCIP enrollment and ensure adherence to OCIP requirements.
• Keep records of insurance certificates, endorsements, and OCIP documentation.
• Examine project contracts for insurance requirements and evaluate coverage limits against those requirements.
• Prepare contracts for the president’s signature.
• Complete prequalification documents for clients, contractors, and project owners.
• Maintain records of signed contracts and prequalification submissions.
• Communicate with customers via email regarding projects, necessary documentation, and updates.
• Address customer calls and inquiries.
• Follow up on pending insurance documents, signed contracts, tax exemption certificates, and other required documentation.
• Collect, organize, and file contracts, insurance certificates, tax exemption certificates, prequalification documents, and correspondence.
• Request and confirm tax exemption certificates.
• Assist with billing overflow and various administrative tasks.
• Process ACH forms and credit applications for new vendors.
• Fundamental understanding of general liability insurance, including GL, Umbrella, Workers Compensation, Excess policies, experience modification rates, and WC class codes.
• Highly organized, capable of managing multiple active projects and open administrative tasks simultaneously.
• Excellent written and verbal communication skills.
• Ability to initiate tasks and see them through to completion before proceeding; methodical and meticulous.
• Basic knowledge of QuickBooks, encompassing data entry and project setup in QBO.
• Proficient in Adobe, Microsoft Word, Microsoft Excel, and Google Sheets.
• Dependable and self-motivated in a remote working environment.
• Preferred experience with Ignite CRM or similar project management software.
• Preferred experience with BidBoard or analogous construction bidding platforms.
• Prior experience in construction, specialty contracting, or a project-driven business is preferred.
• Familiarity with OCIP programs and construction prequalification is preferred.
• Background in contract administration or project documentation within a construction setting is preferred.
