This is a fully remote position, open to applicants in South Africa.
• Deliver daily administrative assistance to the Director of Nursing.
• Oversee and arrange the calendar, meetings, appointments, deadlines, and priorities for the Director of Nursing.
• Aid in preparing for meetings, documenting notes, tracking follow-up items, and managing action items.
• Organize information, reports, correspondence, and other materials for the Director of Nursing.
• Identify imminent deadlines, unresolved matters, and areas that need follow-up.
• Facilitate meetings and communication among nursing leadership, providers, nurses, Case Management, and other departments.
• Review employee timecards, oversee time and attendance records, and assist with payroll-related approvals and corrections.
• Review and monitor employee mileage submissions and maintain associated records.
• Coordinate patient and provider schedules, communicate any changes, and support the continuity of patient care.
• Relay operational messages, reminders, deadlines, and updates to the team.
• Track outstanding requests and follow up with relevant team members.
• Organize onboarding activities, orientation, training, introductions, equipment requests, and checklists for new Wound Care team members.
• Manage offboarding processes, asset recovery, shipping arrangements, and confirmation of returned property.
• Collaborate with HR, IT/BII, Clinical Operations, and other departments to facilitate employee transitions.
• Assist in maintaining clinical leadership priorities organized to allow the Director of Nursing to concentrate on clinical leadership, employee engagement, and patient care.
• A minimum of 2 years of experience in administrative support, executive assistance, healthcare operations, medical office, or a related field is preferred.
• Experience in supporting a manager, director, or senior leader is highly preferred.
• Background in healthcare or clinical operations is an advantage.
• Strong organizational and time-management skills are essential.
• Exceptional attention to detail and thoroughness is required.
• Ability to manage multiple priorities and meet deadlines concurrently.
• Strong written and verbal communication abilities are necessary.
• Proficient in using calendars, spreadsheets, email, electronic timekeeping systems, and other technologies.
• Capability to handle confidential employee and patient-related information with the utmost discretion.
• Ability to work autonomously while maintaining effective communication with leadership and team members.
• Comfortable in a fast-paced environment where priorities may shift based on patient and operational demands.
