This is a fully remote position, open to applicants in Arizona, +8 more states.
• Oversee intricate calendars and email correspondence for various Clinical Executives.
• Manage priorities for requests and communications, resolve scheduling conflicts, and organize meetings.
• Arrange travel through CWT and accurately submit expense reports via Concur.
• Organize virtual and in-person meetings, including venue selection, setup, catering, and audiovisual needs.
• Create agendas and preparatory materials, take minutes, and monitor action items.
• Facilitate both ad hoc and regular calls while managing Microsoft Teams functionalities.
• Compose correspondence, reports, and PowerPoint presentations.
• Route external documents for evaluation and approval.
• Act as the primary contact for internal team members, matrix partners, clients, brokers, providers, and other stakeholders.
• Manage inquiries on behalf of Clinical Executives by fielding, triaging, and redirecting requests.
• Collect, monitor, and report departmental data.
• Maintain SharePoint and Teams sites, files, and distribution lists.
• Handle purchase requests and invoices while assisting with budget monitoring.
• Coordinate executive equipment, supplies, connectivity, IT setup, issue resolution, onboarding, and offboarding processes.
• Provide support coverage for fellow administrative assistants.
• Organize team recognition events, celebrations, and other activities.
• Execute additional assigned tasks and projects.
• High school diploma is mandatory.
• At least 3 years of experience in an administrative role.
• Advanced skills in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, OneNote).
• Exceptional written communication abilities and a keen eye for detail.
• Good judgment and problem-solving capabilities for routine decision-making.
• Proven discretion in handling confidential and sensitive information, including PHI.
• Capacity to prioritize and manage multiple demands in a fast-paced setting.
• Collaborative communication skills with Clinical Executives, team members, matrix partners, and external stakeholders.
• The ideal candidate should be located in the Mountain or Pacific time zone.
• Preferred familiarity with SharePoint, Concur, Slido, Microsoft Planner, and Copilot.
• Reliable home internet access via cable broadband or fiber optic service with at least 10 Mbps download and 5 Mbps upload speed.
