This is a fully remote position, open to applicants in Pennsylvania.

📋 Description

• Respond to incoming phone calls, emails, and inquiries from families, referral sources, and stakeholders.

• Offer general information about programs and clarify the next steps in the admissions or referral process.

• Examine authorized client records, including admission status, appointment times, assigned clinician, and discharge plans.

• Direct callers to the appropriate departments or staff members.

• Collect accurate information and provide timely follow-up calls or emails.

• Maintain a calm, empathetic, and solutions-focused demeanor during emotionally charged conversations.

• Record calls, messages, and follow-ups in the electronic health record or customer management system.

• Accurately log contact information, call outcomes, and follow-up actions.

• Collaborate with admissions, clinical, medical, billing, and other internal departments.

• Keep updated knowledge of programs, services, and points of contact.

• Exercise discretion and uphold confidentiality.

• Complete mandatory training and perform other assigned duties.


⛳️ Requirements

• Must be a resident of the state of Pennsylvania.

• High School diploma is required.

• Bachelor’s degree is preferred.

• Experience in administrative roles is preferred.

• Background in the behavioral healthcare field is preferred.

• Excellent verbal and written communication skills; able to engage with empathy and professionalism.

• Proficient in data entry and quick to learn electronic systems.

• Strong attention to detail, organization, and follow-through in a remote work setting.

• Capable of managing sensitive information and maintaining confidentiality.

• Ability to work collaboratively with internal teams and adapt to changing needs and priorities.

• Completion of all required training as specified by the company and accreditation/licensing entities.

• Capacity to sit for extended periods, talk, hear, and use standard office equipment.

• Minimal lifting of up to 10 pounds may be necessary.
