
Administrative Assistant – Behavioural Health

This is a fully remote position, open to applicants in United States.
• Assist in the daily administrative functions of a dynamic behavioral health practice.
• Input, update, review, organize, and retrieve patient, demographic, billing, insurance, and clinical-administrative data within EHR/EMR systems.
• Ensure electronic patient records and documentation are accurate, complete, and well-organized.
• Submit, monitor, track, and follow up on pharmacy prior authorization requests and related appeals paperwork.
• Engage with pharmacies, insurance providers, healthcare institutions, patients, clinicians, and internal administrative personnel.
• Address routine administrative inquiries from patients and direct clinical questions to licensed professionals.
• Accurately and securely process patient payments while maintaining payment records.
• Utilize Google Workspace, Google Voice, and related tools for communication, scheduling, documentation, and data management.
• Provide support to therapists, psychologists, psychiatric providers, and administrative staff by alleviating administrative burdens.
• Adhere to HIPAA privacy, security, confidentiality, password, access-control, and cybersecurity protocols.
• Maintain a secure work environment and report any suspected privacy, confidentiality, or security incidents.
• Follow through on tasks, document communications, escalate as necessary, and keep stakeholders updated.
• Bachelor’s degree in a relevant field such as healthcare administration, health information, health informatics, public health, health services, or a business discipline focused on healthcare.
• 3–5+ years of administrative experience in a healthcare environment.
• Experience in supporting healthcare professionals or healthcare organizations.
• Prior experience with an Electronic Health Record (EHR) or Electronic Medical Record (EMR) system.
• Strong knowledge of healthcare administration and patient information workflows.
• Familiarity with HIPAA, patient privacy, confidentiality, and the handling of protected health information.
• Proficient computer and data-entry skills.
• Exceptional attention to detail and accuracy.
• Strong organizational and prioritization abilities.
• Capability to independently manage various administrative tasks.
• Excellent written and spoken English communication skills.
• Clear, professional, and easily comprehensible telephone communication.
• Strong interpersonal and customer service skills.
• Ability to effectively communicate with patients, pharmacies, insurance companies, healthcare institutions, clinicians, and administrative professionals.
• Ability to identify issues that require clinical judgment and escalate them appropriately.
• High proficiency with Google Workspace, including Gmail, Calendar, Drive, Docs, Sheets, Meet, Chat, and Google Voice.
• Ability to work independently in a remote setting.
• Ability to meet deadlines and adhere to established workflows.
• Reliable high-speed internet connection.
• Professional and private workspace conducive to handling confidential healthcare information.
• Preferred: experience in behavioral health or mental health administration.
• Preferred: experience in supporting psychiatric providers.
• Preferred: familiarity with pharmacy prior authorizations, insurance companies, healthcare payments, remote U.S.-based healthcare organizations, U.S. healthcare terminology, Google Voice, or sensitive behavioral health information.
