This is a fully remote position, open to applicants in Philippines.
• Assist with project administration for various ongoing projects.
• Generate, compile, and disseminate information through reports and dashboards.
• Ensure accurate project documentation is maintained throughout the delivery lifecycle.
• Provide general administrative support to the delivery team.
• Interact professionally and proactively with suppliers and subcontractors.
• Follow up on outstanding information and documentation as needed.
• Maintain professional communication with external parties via phone and email.
• Keep project information records updated using Jira and related systems.
• Log and audit communications with clients and contractors.
• Manage assigned responsibilities within CRM and task management systems.
• Assist in document processing and system updates.
• Adhere to quality standards, procedures, and delivery processes.
• Identify and escalate issues, delays, and risks as necessary.
• Aid in implementing agreed-upon remedies and preventive actions.
• Support audit readiness by ensuring complete documentation and communication trails.
• Prepare basic reports to sustain or enhance service delivery.
• Work towards the delivery team’s KPIs and performance objectives.
• Fill administrative voids within the delivery function.
• Execute other role-specific tasks as required.
• A bachelor’s degree in Business Administration, Construction Management, Engineering, Information Systems, or a related field is preferred.
• Prior experience in an administrative or support role, preferably in the construction, engineering, technology, or a related industry.
• Excellent organizational skills with the capacity to handle multiple tasks at once.
• Proficient IT skills and comfort with structured systems and workflows.
• Familiarity with Microsoft Office, including Outlook, Word, and Excel.
• Experience with CRM systems and task or ticket management platforms (e.g., Jira) is a plus.
• Strong written and verbal communication abilities, with confidence in engaging suppliers and subcontractors.
• Capability to process work efficiently while maintaining a keen attention to detail.
• Ability to adhere to defined processes, quality standards, and escalation pathways.
• Capacity to work independently as well as collaboratively within a team setting.
• Prior experience with construction terminology or documentation is beneficial but not mandatory.
• Permanent remote work arrangement.
• Monday–Friday: 4:00 PM–1:00 AM or 5:00 PM–2:00 AM PHT (adjustments will be made for daylight saving time).
