This is a fully remote position, open to applicants in United States.
• Reconcile all payments received with those posted.
• Set up website access for obtaining payment remittances.
• Generate monthly and as-needed reports tailored for clients.
• Investigate payment issues on a daily basis.
• Provide specific payment posting instructions to the Payment Posting Teams for each client.
• Offer detailed explanations for payments that cannot be posted.
• Identify root causes of missing remittances and implement preventive best practices.
• Conduct quality audits on payment postings and deliver feedback.
• Respond swiftly and professionally to customer inquiries via email and phone.
• Create and distribute client-specific reports through secured FTP, internal automation, and email.
• Collaborate with both internal and external teams to ensure client deadlines and accuracy are met.
• Coordinate training requirements with the direct manager.
• Enhance processes within current practices and procedures.
• Be present during the first four business days of each month, barring unforeseen emergencies.
• Process or opt out of credit card payments as necessary.
• Develop and update job aids.
• Assist with special projects and additional tasks assigned by leadership.
• Maintain and nurture business relationships.
• Adhere to HIPAA and PCI compliance guidelines.
• High School Diploma.
• 1-2 years of business office experience related to payment transactions, reconciliation, or payment posting.
• Proven proficiency in Microsoft Excel, including the ability to create accurate working spreadsheets.
• Strong sense of confidentiality and professionalism regarding information related to company and/or client operations.
• Highly motivated, proactive, and organized with the ability to manage time, prioritize tasks, and effectively handle projects.
• Excellent verbal, written, and interpersonal communication skills.
• Ability to work effectively under pressure and manage multiple demands simultaneously.
• Capability to thrive within a cross-functional team environment as well as independently.
• Exceptional attention to detail and organizational skills.
• Willingness and ability to adapt to changes in the work environment, procedures, priorities, and job responsibilities.
