This is a fully remote position, open to applicants in Michigan.
• Prepare, review, edit, finalize, and distribute invoices for clients.
• Manage electronic billing through client portals and LEDES formats.
• Build and nurture client relationships concerning specific billing guidelines, submission requirements, and invoicing processes.
• Ensure invoices are submitted accurately and punctually in accordance with client deadlines and billing requirements.
• Verify billing information for precision and compliance.
• Investigate and resolve billing discrepancies, invoice rejections, and client inquiries related to billing.
• Collaborate with attorneys, legal assistants, and other stakeholders to ensure billing accuracy and timeliness.
• Oversee collections activities for designated clients.
• Proactively follow up on outstanding balances, payment commitments, and overdue invoices.
• Engage directly with clients regarding the status of invoices, payment inquiries, billing disputes, and collection issues.
• Identify and address factors contributing to delayed payments.
• Escalate high-risk or unresponsive accounts as necessary.
• Conduct regular review meetings with attorneys regarding accounts receivable to discuss aging balances, collection strategies, and action items.
• Maintain comprehensive records of collection activities, client communications, payment commitments, and account statuses.
• Establish and sustain professional client relationships while handling sensitive discussions related to outstanding balances and payment terms.
• Assist with various projects as directed by management.
• Expand knowledge of industry-specific terminology and processes unique to Immigration Legal Services.
• Support the enhancement of processes that foster a positive client experience and contribute to Ellis Porter’s financial success.
• A minimum of 5 years of experience in billing, accounts receivable/collections, ideally within a law firm or other professional services setting.
• Strong analytical and problem-solving abilities.
• Exceptional written and verbal communication skills.
• Professional engagement with attorneys, clients, and firm leadership.
• Highly organized with a keen attention to detail.
• Ability to manage various priorities and meet deadlines.
• Capability to exercise sound judgment.
• Committed to maintaining confidentiality and handling sensitive client and financial information.
• Familiarity with e-billing software such as Legal Tracker and Collaborati.
• Robust experience in accounts receivable and collections.
• Proficient in client communication and relationship management.
• Strong skills in Microsoft Office.
• Intermediate to advanced skills in Excel.
