This is a fully remote position, open to applicants in United States.
• Deliver transactional and administrative accounting assistance to the US Finance team.
• Provide support for accounts payable, cash receipts, payroll administration, vendor records, and financial documentation.
• Collaborate with finance colleagues to ensure that transactions are accurately documented, coded, processed, and prepared for reconciliation and month-end closing.
• Assist with semi-monthly payroll administration, including payroll schedules, documentation, data verification, and routine system management.
• Address routine inquiries related to accounts payable and expense reimbursements from staff and vendors.
• Work with budget holders and approvers to secure necessary approvals and supporting documentation.
• Execute accounts payable transactions, including invoices, check requests, and expense reimbursements.
• Oversee the Accounts Payable mailbox and ensure timely processing of invoices and related documentation.
• Code and process approved invoices in Sage Intacct or other designated accounting systems.
• Maintain vendor records and supporting documentation, including the collection and verification of W-9 forms.
• Prepare payment templates and supporting documents for authorized review and release; does not have the authority to approve or release payments.
• Aid in year-end vendor reviews and the preparation of information for Forms 1099 and 1096 reporting.
• Process and document cash receipts while maintaining supporting records.
• Assist with reconciliations and transaction assessments.
• Ensure accurate accounting records are maintained for audit and compliance purposes.
• Support audit requests, retrieve financial records, and handle routine finance administration tasks.
• Identify incomplete documentation, unusual transactions, or potential control concerns and report them to the Finance Manager.
• Contribute to enhancements in standard finance processes.
• Completion of relevant coursework, certification, associate degree, or equivalent practical experience in Accounting, Finance, Business Administration, or a related discipline.
• A minimum of 1 year of relevant experience in accounts payable, bookkeeping, accounting support, payroll administration, or similar finance operations.
• Strong attention to detail and a dedication to accuracy.
• Effective organizational and time-management skills, capable of managing routine deadlines and competing priorities.
• Proficient in Microsoft Excel and comfortable with learning finance and payroll systems.
• Ability to communicate professionally and effectively with staff, vendors, and other stakeholders.
• Capacity to work independently within established procedures and as part of a collaborative team.
• Commitment to confidentiality and the proper handling of sensitive financial and employee information.
• Candidates must be legally authorized to work in the United States at the time of application; sponsorship is not offered.
• Experience with Sage Intacct or other ERP/accounting systems is preferred.
• Familiarity with ADP or other payroll platforms is preferred.
• Previous experience in a nonprofit, international NGO, or similarly complex organization is preferred.
• This is a computer-based role requiring extended screen time and regular remote collaboration.
