This is a fully remote position, open to applicants in Texas.
• Oversee both short-term and long-term workload forecasts and staffing models for RxCompass and Variable Copay operations.
• Track intraday volumes, inventory levels, productivity, staffing, schedule adherence, and service standards; communicate potential risks and suggest adjustments as needed.
• Collaborate with Operations leadership to redistribute work, modify schedules, ensure coverage, and assist in maintaining business continuity.
• Create, manage, verify, and disseminate regular reports on workforce metrics, productivity, attendance, capacity, and performance.
• Develop dashboards and conduct ad hoc analyses with actionable insights at the associate, team, program, and departmental levels.
• Evaluate forecast versus actual performance, identify discrepancies and their root causes, and document corrective measures.
• Maintain records of attendance, schedules, time-off, overtime, and staffing levels.
• Coordinate recommendations for overtime and voluntary time-off based on workload and service requirements.
• Assist in hiring strategies, onboarding timelines, training capacity, nesting plans, and tracking speed to proficiency.
• Lead capacity-planning and workforce-review meetings that address outcomes, demand, staffing shortages, risks, and action plans.
• Define and document workforce assumptions, reporting logic, data sources, quality controls, and standard operating procedures.
• Validate data, investigate inconsistencies, and escalate unresolved data or system issues as necessary.
• Identify areas for coaching, training, workflow enhancement, automation, or clarification of policies.
• Work in collaboration with Operations, Analytics, Reporting, Human Resources, Training, Client Services, and Technology partners.
• Safeguard confidential information and adhere to HIPAA regulations concerning PHI.
• Report any HIPAA violations to the Compliance Officer and/or Human Resources department.
• Complete mandatory HIPAA training and demonstrate proficiency.
• Participate in meetings and undertake additional responsibilities as assigned.
• Experience in workforce planning, forecasting, capacity planning, and real-time operational management.
• Advanced analytical and problem-solving abilities, including variance and root cause analysis.
• Exceptional attention to detail and a strong commitment to data accuracy, validation, and documentation.
• Capability to translate complex data into clear operational insights and recommendations.
• Excellent written and verbal communication skills, including proficiency in grammar, spelling, and professional presentation.
• Ability to manage competing deadlines and respond effectively within a dynamic operational environment.
• Proficient in Microsoft Excel, including formulas, lookups, pivot tables, charts, and data analysis; skilled in Word and PowerPoint.
• Ability to learn and utilize workforce management, telephone, case management, reporting, and business intelligence tools.
• Strong judgment, discretion, objectivity, and the ability to maintain confidentiality.
• Ability to work both independently and collaboratively with cross-functional leaders and teams.
• Familiarity with attendance, scheduling, and established operational procedures.
• Customer service orientation and an understanding of how workforce decisions impact members and clients.
• Availability for full-time/non-exempt work during core hours of 8:00 AM to 5:00 PM CT.
• Willingness to work extended hours, weekends, and holidays as required by industry demands.
• Bachelor's degree preferred, or an equivalent combination of education and relevant experience in healthcare, business, analytics, operations, or technology.
• A minimum of two years of experience in workforce management, reporting, analytics, operations support, or a related field.
• Experience utilizing Excel to analyze operational data and generate recurring reports.
