This is a fully remote position, open to applicants in Colorado.
• Create a dependable, governed source for PMO policies, processes, procedures, templates, and project-delivery documentation.
• Enhance uniformity in how project teams organize, name, revise, preserve, and access records throughout the lifecycle.
• Provide visibility into documentation quality, compliance, and corrective measures for Delivery Program leadership.
• Facilitate the use of appropriate platforms and workflows for design, construction, and controlled records by project teams and partners.
• Oversee, maintain, and continually enhance the Center of Excellence document library.
• Establish, manage, and sustain document-control systems and project records across the project portfolio.
• Implement the Document Control Plan, project folder structures, file naming conventions, retention policies, and revision-control standards.
• Coordinate the intake, identification, distribution, revision, archiving, and retrieval of documents.
• Keep accurate document registers and revision histories.
• Evaluate documents and records for accuracy, completeness, metadata, naming, version status, and appropriate storage locations.
• Advise project teams on the practical application of document-control standards and sanctioned systems.
• Assist in the controlled management of design documents, drawings, specifications, RFIs, submittals, meeting records, change documentation, closeout records, and related project files.
• Conduct regular audits and quality assessments; document findings, track corrective actions, and escalate recurring compliance issues.
• Collaborate with project leadership, design, construction, controls, commissioning, and external partners to address document-control challenges.
• Maintain internal process documentation and job aids, recommending updates as necessary.
• Act as a subject matter expert for SharePoint, Procore, and future data-management platforms.
• Train users on folder structures, naming conventions, revision controls, and system utilization.
• Generate reports on document quality, audit outcomes, adoption, exceptions, and corrective action statuses.
• Identify opportunities to streamline workflows, minimize duplication, enhance searchability, and reinforce record integrity.
• Perform general administrative tasks, including data entry, reporting, and user support.
• A minimum of 4 years of document control experience in engineering, architectural, construction, infrastructure, or similarly technical project environments.
• Proven independent responsibility for document registers, revision control, audits, and project-team support.
• Familiarity with construction and design documentation, including drawings, technical specifications, RFIs, submittals, revisions, and transmittals.
• Experience with Procore, SharePoint, and similar document-control systems such as Autodesk Forma Data Management.
• Strong organizational skills, attention to detail, follow-through, and sound judgment in managing controlled records.
• Excellent written and verbal communication skills.
• Confidence in training users with diverse technical backgrounds.
• Eligibility to work in the United States is required.
• Successful completion of a comprehensive drug and background screening is necessary.
• A bachelor's degree in a related field is preferred.
• Over 5 years of experience supporting complex, multi-project capital programs is preferred.
• Experience in administering SharePoint and Procore document-control practices, training users, and conducting documentation compliance audits is preferred.
• Familiarity with document-control governance, quality assurance, retention practices, and audit processes is preferred.
• Ability to interpret technical terminology and collaborate effectively with design, construction, and project-delivery teams is preferred.
