This is a fully remote position, open to applicants in Canada.
• Manage a large volume of incoming and outgoing calls to schedule, reschedule, or cancel patient appointments across various specialties.
• Collect and verify comprehensive patient demographic and insurance information during the scheduling process.
• Conduct basic real-time checks for insurance eligibility.
• Notify patients about copays, outstanding balances, and necessary referrals or prior authorizations.
• Adhere to provider-specific scheduling templates, visit-type regulations, and clinical guidelines.
• Make outbound reminder calls to patients.
• Follow up on missed appointments and no-show cases.
• Manage recall waitlists to ensure provider calendars remain filled.
• Address patient inquiries and manage sensitive interactions with empathy.
• Appropriately escalate complex issues when necessary.
• Ensure compliance with HIPAA, patient privacy regulations, and operational standards.
• Achieve or surpass performance metrics for call handling time, scheduling accuracy, quality assurance ratings, and attendance.
• High school diploma or equivalent is mandatory.
• A minimum of 1 year of experience in a healthcare contact center, medical scheduling, or patient access position is required.
• Knowledge of medical terminology is preferred.
• Familiarity with Commercial, Medicare, and Medicaid insurance types is necessary.
• Understanding of basic Revenue Cycle Management (RCM) concepts is beneficial.
• Experience with Electronic Health Record (EHR) scheduling software is expected.
• Proficiency in Practice Management (PM) scheduling software is required.
• Outstanding phone etiquette, active listening skills, and a compassionate approach to patient care are essential.
• High level of accuracy in patient registration and insurance data entry is crucial.
• Ability to manage anxious or frustrated patients with professionalism and composure is important.
• Capability to navigate multiple software applications concurrently in a fast-paced environment is needed.
• Strong self-management abilities in a high-volume remote call center setting are essential.
