Virtual Assistant, Sales Assistant – Sales Support

This is a fully remote position, open to applicants in Germany.

📋 Description

• Analyze daily sales activities within the CRM, detect discrepancies, and report them to Sales Management.

• Keep track of outstanding invoices and incoming payments.

• Dispatch payment reminders and liaise with Accounting as needed.

• Generate and distribute quotes utilizing established templates.

• Update quote statuses in the CRM and ensure consistent follow-ups.

• Recognize upselling opportunities among current customers.

• Develop upsell proposals and deliver them to the sales team promptly.

• Create follow-up tasks for upselling opportunities.

• Manage leads and deals within the CRM, ensuring accurate pipeline stages.

• Schedule follow-up tasks and proactively engage with no-shows and open leads.

• Organize sales calls and oversee the calendars of the executive team and Sales Management.

• Send reminders for upcoming meetings.

• Compile daily and weekly sales reports along with KPIs.

• Conduct data maintenance, manage templates, perform occasional research, and assist with other administrative sales support tasks.

⛳️ Requirements

• Experience as a Virtual Assistant, in inside sales, or in Sales Support roles.

• A highly organized, reliable, and detail-oriented work approach.

• An independent and proactive working style.

• Proficiency in using a CRM, preferably Close.

• Competence in Google Workspace or MS Office.

• Familiarity with tools such as ClickUp.

• Native-level proficiency in German, both written and spoken.

• English language skills are a plus.

• Interest in AI and confident in the regular use of AI tools.

• Discreet and professional management of sensitive customer and payment information.

• Availability for approximately 3 hours daily, Monday to Friday, totaling around 15 hours per week.

• Openness to working within fixed daily time slots that align with core working hours in the DACH region and Dubai.
