Veterinary Care Coordinator

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Act as the dedicated remote front desk and care coordinator for a U.S. veterinary clinic.

• Respond to and initiate calls, texts, chats, and emails from pet owners.

• Schedule, reschedule, and confirm veterinary appointments.

• Assess inquiries and clarify services and next steps for pet owners.

• Manage follow-up communications.

• Collaborate with the veterinary team to create estimates.

• Keep medical records, notes, and workflows organized.

• Serve as a long-term extension of the veterinary clinic's staff.

⛳️ Requirements

• Minimum of 1 year of experience in a veterinary clinic or hospital — including front desk, reception, practice administration, or client care.

• Clinic names and employment dates must be included in your CV work history.

• Experience with appointment booking, rescheduling, and confirmations in a veterinary setting.

• Proficient in professional English is essential.

• Previous roles involving phone communication with English-speaking clients.

• Practical experience with veterinary practice management software.

• Ability to identify the systems used and describe daily tasks within them.

• Familiarity with VoIP tools is advantageous.

• Experience in coordinating with veterinarians and clinic teams.

• Access to a fibre or fixed internet connection of at least 25 Mbps.

• Backup power solutions to maintain work during load shedding, such as an inverter, UPS, or generator.

• A quiet, dedicated space for taking calls.

• Willingness to work a fixed shift: either 3pm–11pm SAST or 6pm–2am SAST, Monday to Friday.
