πŸ“‹ Description

β€’ Act as the main point of contact for designated clients throughout the duration of their cases.

β€’ Facilitate the onboarding process for new clients, outlining the firm's procedures, communication expectations, and subsequent steps.

β€’ Address client emails, phone calls, and messages, providing updates on case status and procedural matters.

β€’ Follow up with clients regarding any outstanding documents, questionnaires, or information needed.

β€’ Record significant client communications in Docketwise and escalate legal inquiries to the relevant attorney.

β€’ Oversee a designated portfolio of active immigration cases while ensuring visibility into their status.

β€’ Initiate new matters in Docketwise, ensuring that client, matter, and case-stage information is thorough and precise.

β€’ Monitor milestones, internal deadlines, government due dates, and follow-up timelines.

β€’ Keep track of cases showing inactivity and take proactive steps to follow up if a case is stalled.

β€’ Maintain case checklists and facilitate the progress of matters through established firm workflows.

β€’ Report delays, unusual developments, urgent deadlines, and unresolved issues to the supervising attorney or paralegal.

β€’ Request, assess for completeness, and organize client documents and supporting materials without making legal sufficiency judgments.

β€’ Upload, label, and organize documents in Docketwise in accordance with firm standards.

β€’ Ensure Docketwise reflects accurate case statuses, notes, tasks, communications, and key dates.

β€’ Create and monitor tasks, reminders, and follow-up activities effectively.

β€’ Track government correspondence, including receipt notices, biometrics appointments, interview notifications, RFEs, and approvals.

β€’ Schedule deadlines and notify responsible team members in advance.

β€’ Maintain accurate reporting regarding assigned cases and identify those requiring management attention.

β€’ Arrange meetings between attorneys and clients, case-review calls, signing appointments, and other case-related engagements.

β€’ Coordinate interpreter services as required.

β€’ Monitor attorney and paralegal review queues, following up on pending internal actions.

β€’ Participate in case-review meetings, offering concise status updates.

β€’ Assist in ensuring timely and complete transitions between intake, case management, paralegals, and attorneys.

β€’ Acknowledge client communications within one business day.

β€’ Uphold deadline-tracking compliance, maintain accurate Docketwise records, and ensure consistent case progression while adhering to firm SOPs, checklists, confidentiality standards, and quality-control procedures.


⛳️ Requirements

β€’ At least 2 years of direct experience in a U.S. immigration law firm.

β€’ Practical experience managing immigration cases from onboarding to completion.

β€’ Familiarity with common U.S. immigration case stages, terminology, deadlines, and government notifications.

β€’ Experience with Docketwise, or substantial experience with a similar immigration case-management platform, and the ability to quickly attain proficiency.

β€’ Excellent written and verbal communication skills in English.

β€’ Outstanding client service, follow-up, and professional communication abilities.

β€’ Strong organizational skills with a proven track record of managing a high volume of active cases simultaneously.

β€’ High attention to detail and disciplined documentation practices.

β€’ Capability to work independently, prioritize competing deadlines, and identify when issues should be escalated.

β€’ Reliable high-speed internet, dependable computer equipment, and a professional remote work setting.

β€’ Ability to consistently work during agreed U.S. Eastern Time business hours.

β€’ A bachelor's degree or equivalent professional experience is preferred.

β€’ Bilingual proficiency is a plus.
