This is a fully remote position, open to applicants in United States.
• Supervise Intake Coordinators, Scheduling Specialists, Access Coordinators, and additional operational support personnel.
• Recruit, onboard, train, and nurture team members' development.
• Hold regular one-on-one meetings, coaching sessions, and performance evaluations.
• Set expectations for productivity, quality, and service delivery.
• Create staffing models and schedules to ensure sufficient coverage.
• Manage attendance, approve PTO, and oversee workforce planning.
• Supervise all patient intake and access processes.
• Guarantee prompt responses to referrals, inquiries, and appointment requests.
• Track and enhance new patient conversion rates.
• Mitigate barriers to care and expedite the time to first appointment.
• Formulate strategies to minimize appointment delays and enhance patient experiences.
• Maintain waitlists and implement strategies for backfilling.
• Oversee patient flow throughout the care continuum.
• Optimize provider schedules and template usage.
• Predict provider capacity and identify chances to increase access.
• Monitor visit completion rates, cancellations, no-shows, and rescheduling trends.
• Create strategies to enhance continuity of care and reduce patient leakage.
• Assist in planning for service expansions and resource allocation.
• Manage both internal and external referral processes.
• Monitor the aging of referrals and conversion metrics.
• Ensure smooth transitions between various levels of care and services.
• Collaborate with referral sources and internal stakeholders to enhance access and patient retention.
• Ensure timely completion of referral documentation and authorization requirements.
• Partner with Revenue Cycle teams to identify operational barriers affecting billing and claims submission.
• Monitor scheduling and registration accuracy to reduce claim denials.
• Facilitate processes that enhance charge capture and minimize delays in revenue realization.
• Develop, standardize, and sustain operational workflows and SOPs.
• Identify inefficiencies and execute process improvement initiatives.
• Lead operational projects and system implementations.
• Coordinate onboarding processes for new providers to ensure they are operationally ready.
• Support the launch of new programs, market expansions, and strategic initiatives.
• Apply Lean principles and data-driven methodologies to improve throughput.
• Monitor critical operational dashboards and KPIs.
• Analyze trends in patient access, provider utilization, conversion, throughput, and retention.
• Create weekly and monthly reports for leadership.
• Utilize Excel, business intelligence tools, and reporting platforms to pinpoint areas for improvement.
• Present operational insights and recommendations to leadership.
• Ensure adherence to HIPAA and organizational policies.
• Oversee the accuracy of scheduling, registration, and documentation.
• Conduct audits and implement necessary corrective measures.
• Ensure compliance with payer, authorization, and credentialing requirements.
• Support organizational initiatives aimed at quality improvement.
• Must be bilingual in Spanish.
• Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Psychology, or a related field (or equivalent experience).
• 3–5 years of experience in healthcare operations or patient access.
• 2+ years of leadership or supervisory experience.
• Experience in mental health.
• Strong understanding of scheduling workflows and patient access management.
• Advanced skills in Microsoft Excel and reporting tools.
• Experience with electronic health record (EHR) systems.
