This is a fully remote position, open to applicants in India.
• Receive confirmed reservations from the Ticketing team and create or update comprehensive trip records.
• Document flight details, passenger information, seat assignments, meal preferences, and frequent flyer numbers.
• Prepare invoices in FreshBooks and hold them for Team Lead review.
• Dispatch approved itineraries and invoices to clients via Periskope.
• Coordinate airport chauffeur pickups, seat selections, special meal requests, and other services as needed.
• Confirm payment through Stripe, bank wires, PayPal, and, on occasion, cryptocurrency.
• Cross-verify payment status across internal systems.
• Report payment discrepancies to the Team Lead.
• Ensure that client management and billing records are aligned prior to client communication.
• Maintain real-time updates on records and ensure no booking task remains unaddressed for over 30 minutes.
• Collaborate with Ticketing and Client Service teams.
• Escalate issues related to payment discrepancies, data mismatches, and client concerns.
• Deliver itineraries and invoices within three hours of ticket issuance at a rate of 95% or higher.
• Contribute to process enhancements and manage increasingly complex bookings.
• 1–2+ years of experience in travel operations, hospitality administration, client coordination, or a similar role focused on detailed records.
• Proven experience in creating or managing invoices using FreshBooks, QuickBooks, or comparable billing platforms.
• Familiarity with the verification or reconciliation of card, bank transfer, and digital payments.
• High level of accuracy across multiple tools and a strong ability to investigate discrepancies.
• Excellent written communication skills in a professional context.
• Capability to handle multiple tasks while maintaining attention to detail during busy periods.
• Previous experience with itinerary management tools like Travefy, Axus, TravelJoy, Tourwriter, or similar is preferred.
• Background in luxury hospitality, premium travel, or high-touch client services is a plus.
• Familiarity with Asana, CRM systems, and client communication platforms is advantageous.
• Working knowledge of Known Traveler Numbers and Frequent Flyer Numbers is beneficial.
• Availability for rotating day or night shifts, including potential weekends and public holidays.
• Independent contractor responsible for relevant taxes, filings, and compliance in their location.
