Trip Fulfillment Team Member

This is a fully remote position, open to applicants in India.

📋 Description

• Receive confirmed reservations from the Ticketing team and create or update comprehensive trip records.

• Document flight details, passenger information, seat assignments, meal preferences, and frequent flyer numbers.

• Prepare invoices in FreshBooks for Team Lead review.

• Dispatch approved itineraries and invoices to clients using Periskope.

• Arrange airport chauffeur pickups, seat selections, special meals, and other requested services.

• Verify payment receipt and accuracy across Stripe, bank wires, PayPal, and cryptocurrency systems.

• Identify and report payment discrepancies, data mismatches, and client issues to the Team Lead.

• Maintain accurate and up-to-date client management and billing records in real time.

• Ensure no booking task remains unaddressed for more than 30 minutes during the shift.

• Collaborate with the Trip Fulfillment Team Lead, Ticketing team, and Client Service team.

• Deliver itineraries and invoices within three hours of ticket issuance at a 95% or higher rate.

⛳️ Requirements

• 1–2+ years of experience in travel operations, hospitality administration, client coordination, or a similar detailed-records role.

• Proficiency in creating or managing invoices using FreshBooks, QuickBooks, or similar billing platforms.

• Experience in verifying or reconciling card, bank transfer, and digital payments.

• Strong attention to detail and accuracy across multiple tools.

• Clear and professional written communication skills.

• Ability to manage multiple tasks without compromising detail during busy shifts.

• Previous itinerary-building experience with Travefy, Axus, TravelJoy, Tourwriter, or similar platforms is preferred.

• Background in luxury hospitality, premium travel, or high-touch client service is advantageous.

• Familiarity with Asana, CRM, and client communication platforms is a plus.

• Working knowledge of Known Traveler Numbers and Frequent Flyer Numbers is beneficial.

• Genuine passion for travel and creating seamless client experiences.

• Availability for rotating shifts, which may include overnight shifts, weekends, and public holidays.

• Independent contractor responsible for applicable taxes, filings, and compliance in their own location.
