This is a fully remote position, open to applicants in United States.
β’ Act as the primary relationship manager and daily point of contact for sponsors and exhibitors, from the signing of contracts through to post-event follow-up.
β’ Oversee and manage the sponsor issue queue, which includes triaging, setting response expectations, tracking resolutions, and providing written follow-ups.
β’ Facilitate the onboarding process for new sponsors and exhibitors using a structured approach.
β’ Develop sponsorship toolkits within the Cvent exhibitor portal.
β’ Provide training to sponsor teams on lead retrieval, event applications, exhibitor portals, and meeting-scheduling tools.
β’ Generate and implement communications for sponsors and exhibitors throughout the pre-event, on-site, and post-event phases.
β’ Conduct pre-event kickoff calls to verify deliverables, deadlines, and criteria for success.
β’ Maintain the comprehensive sponsorship planner that includes contract terms, financial status, and fulfillment details.
β’ Gather and monitor contracted deliverables against established deadlines.
β’ Collaborate with marketing to coordinate sponsor-facing promotions.
β’ Work with marketing and operations to manage physical fulfillment.
β’ Design and oversee exhibit floor plans and booth assignments utilizing floor plan software.
β’ Monitor sponsorship inventory and identify under-performing assets.
β’ Conduct scheduled sponsor check-ins during events and address any issues with operations, AV, and registration.
β’ Collaborate with portfolio leaders to implement the on-site rebooking process.
β’ Bachelorβs degree in hospitality, communication, or a related field.
β’ Over 3 years of relevant experience in a client/customer-facing role within events.
β’ Familiarity with CVENT or other event management software.
β’ High proficiency in Microsoft Office applications.
β’ Capability to manage multiple concurrent projects, troubleshoot issues, and consistently meet deadlines with minimal oversight.
β’ Outstanding customer service abilities.
β’ Competence to function efficiently in a high-pressure environment.
β’ Exceptional attention to detail.
β’ Ability to develop procedures.
β’ Commitment to accuracy in job performance.
β’ Willingness to travel frequently, up to twice a month from February through November, typically for three to four days at a time, including extended on-site days.
