This is a fully remote position, open to applicants in New York.
• Offer comprehensive administrative support to USACS System/Site Medical Directors and other leadership personnel at the site.
• Execute or supervise clerical, administrative, reporting, and office management tasks.
• Serve as a liaison among USACS locations, regional leadership, corporate staff, physicians, patients, and hospital staff.
• Organize administrative offices for the Emergency Department and inpatient units at USACS facilities.
• Cultivate relationships with hospital staff to bolster the USACS contract at the site.
• Coordinate the schedules of Medical Directors, clinical leaders, and hospital administration.
• Oversee Outlook calendars and incorporate Zoom options into meetings.
• Manage Zoom meetings, ensuring audio/visual functionality and attendee accessibility.
• Arrange meeting agendas, participate in necessary meetings, and create minutes for distribution.
• Administer Workday Expense submissions through to final approvals.
• Facilitate onboarding for new clinicians, including orientation, EMR training, ID badges, tours, meetings, and dinners.
• Assist clinicians with Workday, Workday Expense, Shift Admin, and TCL systems.
• Liaise with IT to address system issues as needed.
• Organize site recognition programs.
• A minimum of three years of administrative experience is required.
• Extensive knowledge and proficiency in using a personal computer within a Windows environment.
• Strong focus on processing electronic documents/attachments using Adobe.
• Intermediate to advanced proficiency in Excel.
• Familiarity with presentation and database applications, as well as Internet usage.
• Keen attention to detail and the capability to produce highly accurate work.
• Ability to collaborate with individuals at all organizational levels and hospital partners.
• Professional communication skills with employees, physicians, management, and external business contacts.
• Correct usage of English and grammar is essential.
• Capacity to maintain highly confidential information.
• Proficiency in managing tasks efficiently, staying organized, anticipating needs, and working accurately with minimal supervision.
• A Bachelor’s Degree is preferred.
• Ability to sit for extended periods and occasionally walk, stand, bend, stoop, and lift up to 15 pounds.
• Close visual acuity is required.
