
Senior Project Coordinator – Sports Venue

This is a fully remote position, open to applicants in Arizona.
• Organize, manage, execute, and facilitate project activities throughout the entire project lifecycle.
• Assist with project logistics, planning, coordination, and financial management.
• Collaborate with Sales and Technical Operations teams during project kick-offs and closeout processes.
• Develop project documentation and liaise with vendors.
• Monitor procurement, equipment orders, deliveries, inventory, and the Bill of Materials.
• Schedule and participate in both internal and external project meetings.
• Assess project conversions and budgets against customer purchase orders and contracts.
• Provide administrative assistance to Technical Operations, Project Teams, local management, and Project Managers.
• Work with Accounts Receivable staff to initiate regular project billing, including AIA billing documents when applicable.
• Upload essential project documentation to enterprise document management systems.
• Act as the primary liaison between Project Management and Procurement.
• Coordinate with Shipping & Receiving regarding project deliveries.
• Facilitate the approval process for subcontractor/vendor quotes.
• Follow up on items that are unreceived or unpurchased.
• Review project financials and compile monthly cost reports.
• Complete tasks outlined in the project closeout checklist and reproduce necessary forms.
• Attend required training sessions for the department.
• High School Diploma or equivalent qualification.
• Over 5 years of experience in a Project Coordinator support role or similar project-related position.
• Proficiency in the MS Office suite, particularly Excel, Word, Outlook, PowerPoint, and Adobe.
• Familiarity with Accounting Systems.
• Required experience with project management software such as MS Project.
• Willingness and capability to mentor fellow team members.
• Ability to represent the Project Manager when necessary.
• Capacity to work in a team-oriented environment and in remote locations.
• Strong oral and written communication skills for conveying relevant project information.
• Ability to adapt to changing priorities.
• Proficient analytical and problem-solving skills.
• Ability to respond quickly and efficiently to project changes.
• Skill in fostering cooperation from diverse sources and departments.
• Excellent organizational abilities and task-switching skills.
• Capable of researching project-related issues and products.
• Ability to prioritize and execute tasks effectively in a high-pressure environment.
• AVIXA CTS or relevant industry certifications are a plus.
• A technical or business degree or equivalent work experience is preferred.
• Familiarity with Microsoft Teams.
• Experience with Dynamics 365.
• Background in General Contracting, Construction, Security, or Integration.
• Understanding of AIA and Prevailing Wage documents and processes.
• Client management skills.
• Strong financial acumen.
• Training classes as needed based on departmental requirements.
• Capability to work remotely.
• Collaborative team-oriented work environment.
