This is a fully remote position, open to applicants in Nevada.
• Organize, manage, execute, and facilitate project activities across the entire project lifecycle.
• Support logistics, planning, coordination, and financial aspects of projects.
• Collaborate with Sales and Technical Operations teams.
• Assist with project kick-off meetings, equipment ordering, tracking, and the procedures for closing out projects.
• Develop project documentation and coordinate with vendors.
• Monitor procurement processes and schedules, and participate in project meetings.
• Evaluate project conversions and budgets in relation to customer purchase orders and contracts.
• Work with Sales and Project Management to address and resolve issues.
• Provide administrative assistance to the Technical Operations department, Project Teams, and local management.
• Ensure compliance with company policies, procedures, and standards.
• Collaborate with Accounts Receivable staff to initiate regular project billings, including AIA billing documents when necessary.
• Upload essential project documentation to enterprise document management portals.
• Act as the main liaison between Project Management and Procurement.
• Assist in managing Bills of Materials for ongoing projects.
• Organize project deliveries in conjunction with Shipping & Receiving.
• Coordinate onsite deliveries, inventory management, and other onsite tasks as required.
• Provide daily administrative assistance to Project Managers for equipment ordering, tracking, and documentation.
• Facilitate the approval process for subcontractor/vendor quotes.
• Verify equipment delivery status and follow up on items that have not been received or purchased.
• Participate in both internal and external project meetings.
• Review and prepare billing submissions for Accounts Receivable.
• Analyze project financials and compile monthly cost reports.
• Complete tasks outlined in the project closeout checklist.
• Reproduce necessary forms for project preparation.
• Attend mandatory training sessions.
• High School Diploma or an equivalent qualification.
• Over 5 years of experience in a Project Coordinator support role and/or a projects-related position.
• Proficiency in the MS Office suite, including Excel, Word, Outlook, PowerPoint, and Adobe.
• Familiarity with Accounting Systems.
• Required experience with project management software, such as MS Project.
• Willingness and ability to mentor other team members.
• Capability to work effectively in both team-oriented environments and remote settings.
• Strong oral and written communication skills to convey relevant project information.
• Ability to adapt to changing priorities.
• Strong analytical and problem-solving skills.
• Quick and efficient response to project adjustments and changes.
• Ability to garner cooperation from diverse sources and departments.
• Excellent organizational skills and the ability to switch tasks rapidly.
• Ability to research project-related issues and products.
• Strong prioritization and execution skills in high-pressure environments.
• AVIXA CTS or relevant industry certifications.
• A technical/business degree or equivalent work experience is preferred.
• Familiarity with Microsoft Teams and Dynamics 365.
• Background in General Contracting, Construction, Security, or Integration.
• Knowledge of AIA and Prevailing Wage documents and processes.
• Client management capabilities.
