This is a fully remote position, open to applicants in California, +5 more states.
• Establish and oversee projects within Project Farma’s PSA platform, encompassing budgets, staffing strategies, milestones, and schedules.
• Track timesheets, project financials, and utilization metrics; identify discrepancies prior to billing or reporting impacts.
• Maintain PSA reporting and dashboards for monitoring project progress, regional performance, and portfolio assessments.
• Act as the primary contact for Project Managers regarding PSA inquiries and provide training for new Project Managers.
• Collaborate with Project Managers and Finance to prepare monthly client accruals.
• Develop draft invoices for Project Manager evaluation and client submission.
• Organize project meetings, including agendas, minutes, action items, documentation, filing, and deliverable tracking.
• Create and distribute project status reports, client-ready materials, and internal updates.
• Assist with project close-out administration, financial reconciliation, and capturing lessons learned.
• Aid Regional Managers with reporting, staffing, scheduling, and consolidated project updates.
• Coordinate onboarding logistics for new Project Managers and consultants.
• Monitor regional utilization, billability, and project health metrics.
• Help with proposal formatting, templates, version control, staffing plans, rate tables, and submission logistics.
• Provide backup support for Salesforce entry and updates.
• Perform additional project, regional, or administrative responsibilities as assigned.
• Manage workload effectively across multiple projects and Project Managers within the designated region.
• Bachelor’s degree in business administration, operations, or a related field, or an equivalent combination of education and experience.
• Over 2 years of experience in project coordination, project administration, or regional/administrative support.
• Ideally, experience in professional services, consulting, or a life sciences environment.
• Preferred experience in supporting multiple managers or project teams simultaneously within a distributed or multi-region structure.
• Familiarity with PSA software; Kantata is preferred, or similar platforms such as Mavenlink, Certinia, Deltek, or Smartsheet.
• Proficient in Microsoft Office, especially Excel and PowerPoint.
• Knowledge of Salesforce or a comparable CRM for backup support.
• Strong organizational abilities and capacity to prioritize tasks across various projects and managers with minimal supervision.
• Excellent written and verbal communication skills, including interactions with clients.
• Discretion in handling confidential project, client, and financial data.
• Capability to work independently in a remote, matrixed environment across multiple states and time zones.
• Must be authorized to work in the United States on a full-time basis.
• No current or future work visa sponsorship.
• Must possess a valid driver’s license.
• Significant travel may be necessary to meet project and business requirements.
