πŸ“‹ Description

β€’ Deliver top-tier administrative and office management assistance to the Assistant Secretary, Principal Deputy Assistant Secretaries, Deputy Assistant Secretaries, and other senior officials within the NEA.

β€’ Answer, schedule, direct, and respond to phone calls; appropriately manage inquiries or refer them to the right sources.

β€’ Oversee the schedules of senior officials and coordinate meetings, appointments, and briefing documents.

β€’ Organize oral briefings and ensure all meeting participants are adequately informed.

β€’ Handle social engagements that are part of official duties.

β€’ Manage intricate and last-minute travel arrangements, including scheduling appointments, booking hotels, and dealing with passports, visas, and travel advances.

β€’ Prepare travel vouchers, authorizations, itineraries, and expense estimates.

β€’ Maintain familiarity with E2 Travel Solutions and assist in processing electronic travel vouchers and expense documentation.

β€’ Act as the liaison between senior officials, their teams, and other Department offices.

β€’ Keep colleagues and NEA leadership updated on plans, commitments, activities, and pertinent matters.

β€’ Relay and clarify instructions to staff and Department officials.

β€’ Conduct information searches, gather data, and perform initial analyses.

β€’ Take and transcribe notes during meetings.

β€’ Execute special assignments demanding tact, diplomacy, and knowledge of the perspectives of senior leadership.

β€’ Draft correspondence, telegrams, memoranda, briefing papers, and reports in line with Department style guidelines.

β€’ Review, route, compose, process, and edit written communications and correspondence.

β€’ Maintain files for correspondence, office documentation, and records.

β€’ Utilize both classified and unclassified computer applications as well as Microsoft applications.

β€’ Undertake other authorized duties related to the job as assigned.


⛳️ Requirements

β€’ A minimum of 5 years of experience with the Department of State or a similar agency performing administrative and policy functions.

β€’ Comprehensive understanding of Department of State operations.

β€’ Significant overall office management experience.

β€’ Experience as a senior-level secretary or office manager, demonstrating effectiveness under pressure.

β€’ Proficient in using personal computers and familiar with general administrative practices.

β€’ Exceptional writing and communication abilities.

β€’ Capability to work efficiently in a dynamic environment and respond to swiftly changing demands.

β€’ Proven experience with both classified and unclassified computer applications.

β€’ Proficiency in Microsoft applications, particularly Word and Excel.

β€’ Ability to exercise a high level of judgment, discretion, tact, and diplomacy when assisting senior government officials.

β€’ Skill in managing complex executive schedules, correspondence, meetings, travel, and competing priorities.

β€’ Security Clearance: TS/SCI.

β€’ Must meet pre-employment qualifications set by Cherokee Federal.
