This is a fully remote position, open to applicants in California, +2 more states.
• Act as the operational backbone of JFF’s Marketing and Communications team
• Create, monitor, and oversee budgets for marketing and communications projects
• Set up and maintain project management standards, templates, and workflows using Asana
• Manage project intake, prioritization, and capacity planning processes
• Craft project plans, resource allocations, estimates, timelines, and post-project requirements
• Lead resource planning and distribution across multiple simultaneous projects and workstreams
• Identify and onboard vendors and contractors for project needs
• Oversee agency partners, freelancers, and external resources
• Negotiate contracts, scopes of work, and service agreements in collaboration with Contracts and Finance
• Review and process vendor invoices, monitor external spending, and reconcile expenses
• Maintain a centralized list of freelancers, contractors, and external resources
• Organize recurring meetings, agendas, decision-making processes, accountability, and follow-up actions
• Design and manage centralized systems for documents, assets, and resources
• Identify workflow inefficiencies and implement solutions to enhance productivity
• Optimize internal processes, standard operating procedures (SOPs), and operational norms
• Coordinate Marketing and Communications activities with Finance, Contracts, and Program teams
• Assist in onboarding practices for newly hired team members
• Report to the AVP, Enterprise Marketing & Communications
• Proven experience in leading complex, multi-stakeholder projects from conception to completion
• Generally, 5–8+ years of relevant professional experience for Senior Manager-level positions, encompassing full-time, part-time, internship, and/or freelance roles
• Experience ideally supporting Marketing and Communications initiatives
• Capability to establish project management guidelines, align resources and expertise with project needs, and create vendor and contract workflows
• Comfort in dealing with ambiguity and generating innovative solutions
• Highly organized with a strong aptitude for creating systems that enhance reliability, clarity, communication, and accountability
• Excellent written and verbal communication abilities
• Proficient in building relationships and managing communications with external partners, particularly freelancers and vendors
• Skilled in facilitating meetings, coordinating agendas and action items, and keeping teams focused on results
• Ability to learn and navigate various technology systems, including Asana, Salesforce, SharePoint, Outlook, Teams, and related project management and collaboration tools
