
Senior IP Admin Analyst – Patent Docketing

This is a fully remote position, open to applicants in United States.
• Provide support for filing and prosecution through docketing, paralegal services, Recordals, Information Disclosure Statements (IDS), and/or reference management.
• Engage with both internal and external stakeholders in a virtual, complex, and global environment.
• Organize and plan tasks and responsibilities to meet objectives effectively.
• Manage incoming and outgoing communications domestically and internationally using IP management software.
• Review and file prosecution-related documents with the USPTO throughout all stages of prosecution.
• Coordinate and ensure timely instructions to foreign agents regarding non-U.S. patent or trademark prosecution deadlines.
• Create, manage, and maintain customer documents, including scanning, filing, retrieval, document delivery, unfiled matters, file intakes, and file transfers.
• Prepare documents for signatures and collaborate with customer contacts on patent-office requirements.
• Draft intellectual property applications, IDSs, formalized priority claims, ADS, Powers of Attorney, PCT forms, and other necessary forms.
• Maintain customer dockets, generate reports, and communicate about application deadlines and statuses.
• Enhance and keep updated knowledge of domestic and international intellectual property office rules and procedures.
• Assist in developing policies and procedures that support quality improvement initiatives.
• Document and track daily activities in the time-tracking system, adhering to deadlines and service level agreements (SLAs).
• Collaborate across various business areas to fulfill customer expectations and service levels.
• Associate's Degree or equivalent relevant work experience.
• A minimum of 2 years of experience in patent docketing.
• Proficiency in IP management software.
• Familiarity with Microsoft Suite: Outlook, Word, and Excel.
• Preferably 2+ years of experience using Memotech, Foundation IP, The IP Management System, Inprotech, or IPFolio.
• Experience with U.S. and foreign patent docketing and trademark filing & prosecution is preferred.
• A paralegal certificate from an ABA-approved program is advantageous.
• Preferred background in the pharmaceutical industry.
• Must comply with U.S. export control requirements under the EAR and ITAR.
• Ability to work remotely within the United States, preferably in CST or EST time zones.
