This is a fully remote position, open to applicants in United States.
• Manage the scheduling of interviews and logistics for the candidate pipeline, collaborating with Talent Acquisition Specialists to maintain and update candidate records.
• Provide support for candidate interviews as required, which may include conducting screening calls or participating in interview panels.
• Ensure that new drivers have their accounts set up and onboarding requirements confirmed prior to their start date.
• Track and keep records of driver performance metrics and departmental reports, identifying trends and anomalies.
• Oversee shared email queues and direct inquiries as needed.
• Compose and distribute mass communications to drivers, including emails, text blasts, and newsletters.
• Organize recruiting, training, and performance documentation while enforcing naming conventions.
• Monitor live Dedicated Driver orders and app milestones in real-time, reporting any discrepancies.
• Coordinate scheduling and documentation requirements with Talent Acquisition, Onboarding & Training, and Regional Managers.
• Raise issues related to documentation gaps, missed deadlines, and inconsistencies to the Manager of DD Operational Support.
• Uphold confidentiality when managing candidate and personnel information.
• Order and coordinate the shipment of driver equipment.
• Assist with updates to the curriculum and identification of training gaps.
• Act as a secondary owner of training and certification tracking, taking over training ownership during transitions.
• Aid in the onboarding and training of new Operations Coordinators.
• Suggest enhancements to scheduling, training tracking, workflows, and documentation templates.
• Serve as an escalation point for complex scheduling or documentation issues.
• Contribute to reports, performance visibility tools, weekly driver pay discrepancy investigations, and Salesforce-based processes as developed.
• A minimum of 3 years of experience in an administrative, coordinator, or operations support role, preferably in recruiting, training, or field management functions.
• Exceptional attention to detail, especially when it comes to managing schedules, candidate records, and performance data.
• Comfortable using Salesforce (SFDC), an ATS, or an LMS, or enthusiastic about learning; prior experience with any of these platforms is a plus.
• Strong written communication skills; capable of coordinating across multiple stakeholders and summarizing data effectively.
• Dependable and self-motivated, with a proactive communication style when challenges arise.
• Ability to work effectively in a remote, cross-time zone team environment.
• Discreet and trustworthy when handling confidential candidate and personnel information.
• Skilled at managing competing priorities across recruiting, training, and performance support.
• Proven ability to handle a higher volume or more complex caseload with minimal supervision.
• Experience in mentoring or assisting in the ramp-up of junior team members.
• History of identifying and enhancing administrative processes, scheduling workflows, or documentation systems.
• Comfortable taking on the role of escalation point and exercising independent judgment in ambiguous situations.
