This is a fully remote position, open to applicants in Minnesota.
• Provides standardized administrative and coordination support to frontline field leaders, including Market Directors and/or Market Developers.
• Manage and coordinate calendars based on model week priorities, which includes scheduling meetings and handling conflicts.
• Organize meeting logistics such as materials, invitations, and room arrangements, adhering to standard workflows.
• Arrange travel plans for the leaders and teams being supported.
• Assist in scheduling recruitment activities using established workflows.
• Draft and distribute standardized communications utilizing templates and guidance from leaders.
• Maintain distribution lists and communication templates effectively.
• Organize specific inboxes, direct routine inquiries, and highlight items for awareness.
• Post market materials using pre-approved content and templates on designated leader social media accounts.
• Compile and format standard reporting outputs according to predefined templates.
• Implement setup and maintenance of standardized trackers.
• Keep administrative tracking for candidate pipelines, COI activities, licensing requirements, and expense allocation.
• Prepare and submit expense reports following established processes and templates.
• Monitor report status and necessary documentation; follow up to ensure timely completion and correction of errors.
• Facilitate onboarding, transitions, and recruiting workflows using defined checklists.
• Execute tasks in accordance with SOPs, templates, and established workflows.
• Escalate any ambiguities, prioritization issues, or decision-making needs to the appropriate partners.
• Complete assigned project tasks within the defined scope.
• Coordinate logistics for market meetings and events.
• Assist in event execution through assigned responsibilities, which include registration, materials preparation, A/V setup, and onsite logistics.
• Order supplies and support routine office operations.
• Attend meetings as required to assist with logistics, take notes, or fulfill assigned follow-ups.
• At least 3 years of experience in administrative, coordination, or operational support.
• Proven experience in supporting multiple leaders or teams at the same time.
• Prior experience in calendar management, scheduling, or team coordination is preferred.
• Strong organizational and time management abilities, with a capacity to handle multiple tasks and deadlines.
• Exceptional attention to detail and the ability to execute repeatable processes accurately and consistently.
• Proficiency in calendar management and scheduling software.
• Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Ability to learn and navigate standard systems and tools, including expense tracking and scheduling applications.
• Capability to adhere to standard operating procedures (SOPs) and function within defined processes.
• Basic written communication skills suitable for routine messaging.
