This is a fully remote position, open to applicants in United States.
• Oversee the CMO’s calendar in accordance with the annual, monthly, and weekly business schedules.
• Anticipate four to eight weeks ahead to arrange preparation, alignment, and decision meetings for key milestones.
• Implement standard calendar procedures, which include determining attendees, reporting relationships, agendas, pre-reads, links, locations, global time zones, and meeting buffers.
• Identify overloaded days or conflicting priorities and suggest necessary adjustments.
• Maintain clarity on the CMO’s priorities, milestones, decisions, stakeholder commitments, and potential risks.
• Detect gaps before they escalate into last-minute issues.
• Ensure the CMO remains connected with relevant business leaders, customers, partners, and team members.
• Prepare context, data, materials, pre-reads, and align stakeholders for significant meetings.
• Organize leadership meetings, town halls, offsites, and other critical team events.
• Monitor decisions, commitments, and follow-ups, ensuring clear ownership and deadlines.
• Cultivate relationships across the leadership team and the wider organization.
• Plan domestic and international travel, encompassing itineraries, hotels, transportation, meeting logistics, contingencies, and expense reports.
• Manage incoming requests and correspondence efficiently.
• Prepare and review presentations, emails, reports, and meeting materials for quality assurance.
• Direct inquiries to the appropriate individuals.
• Handle sensitive business, talent, and personal information with the utmost discretion.
• Minimum of 10 years of experience as an Executive Assistant supporting senior executives in a complex, global business setting.
• Experience assisting a leader responsible for a multibillion-dollar business or portfolio is highly preferred.
• Strong business acumen and calendar management capabilities.
• Ability to align the executive’s schedule with business priorities.
• Proactive and forward-thinking approach.
• Capability to foresee preparation requirements, identify stakeholders, and take action without prompting.
• Quick learner regarding the portfolio, personnel, planning cycles, and operational rhythms.
• Excellent communication and relationship-building skills based on trust.
• Competence in gathering context, exercising discretion, and knowing when to act, escalate, or inquire.
• Highly organized, reliable, and attentive to speed, accuracy, and detail.
• Proficient in Outlook, Teams, PowerPoint, Word, and relevant collaboration tools.
• An associate degree or equivalent experience is mandatory.
• A bachelor’s degree is preferred.
• Legally authorized to work in the United States.
• Must pass a drug screening, if applicable.
• Willingness to take on a role that does not offer employment visa sponsorship.
