This is a fully remote position, open to applicants in California.
• Collaborate with the Scheduling Care Supervisor and Regional Scheduling Manager to establish scheduling protocols and achieve efficient scheduling plans.
• Develop scheduling plans and coordinate care in line with clinical recommendations.
• Identify and rectify scheduling fills, cancellations, conflicts, and EMR errors.
• Oversee appointment cancellations and arrange for substitute coverage or make-up sessions.
• Provide updates on patient and therapist scheduling via email or instant messaging.
• Work alongside colleagues to devise optimal treatment plans.
• Recognize client needs and scheduling obstacles, and communicate findings through established channels.
• Process therapist availability and PTO requests via the Scheduling Helpdesk once supervisor approval is obtained.
• Place pre-authorizations and submit patient benefits cases for services as necessary.
• Manage a high volume of calls, emails, portal messages, and helpdesk tickets assigned internally.
• Adhere to HIPAA policies and guidelines when discussing client-related matters.
• Prioritize tasks, manage time effectively, and meet deadlines.
• Assist with special projects and administrative responsibilities.
• Maintain scheduling flexibility, including evening and weekend coverage as required.
• Perform additional duties as assigned.
• Bachelor’s degree (preferred).
• Two years of scheduling experience in an office environment (preferred).
• Proficiency in Microsoft Word, Excel, and Internet applications.
• Familiarity with administrative and clerical procedures, including word processing, file management, form design, and office terminology.
• Understanding of the structure and content of the English language, including vocabulary, spelling, composition, and grammar.
• Knowledge of customer service principles and processes.
• Awareness of HIPAA regulations to protect patient information.
• Capability to occasionally stand, walk, sit, climb, balance, kneel, crouch, or crawl.
• Ability to occasionally lift and/or move up to 40 pounds.
