This is a fully remote position, open to applicants in Sri Lanka.
• Prepare, review, modify, and issue customer quotations utilizing Kaseya Quote Manager.
• Assist with quote modifications, renewals, pricing inquiries, and related sales administration tasks.
• Collaborate with sales and technical teams to enhance quotation processes and address pricing or product-related issues.
• Communicate with vendors and distributors to gather precise pricing, licensing, and product data.
• Ensure accurate maintenance of customer contracts within Autotask and related business systems.
• Oversee the creation, modification, renewal, and lifecycle administration of contracts.
• Address customer account inquiries concerning contracts, licensing, billing management, and account records.
• Escalate technical issues while maintaining responsibility for communication and follow-up.
• Generate license and usage reports from vendor portals.
• Reconcile vendor SKUs and license quantities against Autotask contracts and internal records.
• Investigate discrepancies, identify root causes, and coordinate necessary corrections.
• Clean, validate, and prepare vendor report data for business systems and billing processes.
• Maintain accurate CRM records and customer information.
• Support customer segmentation, campaign management, and marketing reporting.
• Provide Level 1 and Level 2 administrative assistance for marketing initiatives.
• Aid in workflows and integrations across KQM, Autotask, and CRM platforms.
• Develop and maintain process documentation, workflow guides, and internal resources.
• Execute, validate, clean, and prepare reports from vendors and business applications.
• Conduct internal training sessions and share knowledge within the team.
• Research operational challenges and propose practical solutions.
• Identify recurring issues and suggest improvements to workflows, systems, and processes.
• Assist with approved workflow and integration enhancements.
• Provide broader business administration support, including service desk coordination, ticket management, or dispatch activities as necessary.
• Maintain precise records and ensure tasks achieve clear, documented outcomes.
• Strong background in sales support, business administration, operations coordination, contracts, or customer account management.
• Experience in supporting quotations, renewals, contracts, customer records, and commercial administration.
• Keen attention to detail when handling pricing, contracts, licensing, SKUs, reports, and customer information.
• Ability to manage competing priorities while ensuring accuracy and consistent follow-through.
• Intermediate experience with Kaseya Quote Manager (KQM).
• Intermediate to advanced proficiency with Autotask Contract Manager.
• Experience with CRM platforms and maintaining accurate customer data.
• Intermediate proficiency in Microsoft 365, including Excel, Outlook, Teams, SharePoint, Planner, OneNote, Loop, Copilot, and Clipchamp.
• Working knowledge of SoftwareOne, Rhipe, or similar Microsoft licensing portals.
• Familiarity with IT documentation and password management tools such as IT Glue or Keeper.
• Experience with vendor reporting tools and data reconciliation.
• Excellent written and verbal communication skills in English.
• Strong customer service capabilities.
• Commercial awareness and confidence in managing customer account, licensing, billing, and contract inquiries.
• Ability to appropriately escalate technical issues while maintaining ownership of customer communication and follow-up.
• Strong organizational and prioritization abilities.
• Proactive, self-motivated, and comfortable taking ownership of responsibilities.
• Strong analytical and problem-solving skills.
• Capability to document processes and conduct internal knowledge-sharing or training sessions.
