Restoration File Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Ensure comprehensive and precise restoration job files are maintained from lead intake through to completion, billing support, auditing, and closeout.

• Assess WorkCenter project documentation, Client Requirements, correspondence, forms, photographs, estimates, and associated documents for accuracy and completeness.

• Monitor Initial, Daily, and Final upload requirements, due dates, automated scrub results, returns, and necessary corrective measures.

• Evaluate field documentation and drying records, identify any missing or inconsistent information, and coordinate corrections with production and project teams.

• Organize job file uploads and verify that required documents are signed, dated, legible, accurately labeled, and included in the appropriate submission.

• Oversee open work orders, audit activities, carrier or TPA requirements, and next steps across multiple active files.

• Maintain communication with managers, field teams, customers, adjusters, and program contacts while ensuring accurate internal notes.

• Safeguard confidential customer and claim information and adhere to documented requirements.

• Facilitate timely service, carrier compliance, and expedite project closeout across five independently owned SERVPRO franchises.


⛳️ Requirements

• Proven experience in restoration administration, job file coordination, job file creation, claims documentation, or restoration file uploads as documented on your resume.

• Demonstrated experience working with a restoration third-party administrator or claims program as reflected in your resume.

• Familiarity with Contractor Connection, Sedgwick, Alacrity, WorkCenter, or similar systems is considered strong evidence of relevant experience.

• A stable employment history, typically with no more than two employers in the past five years.

• Excellent organizational skills, written communication, attention to detail, and the ability to manage multiple deadlines without sacrificing accuracy.

• Capability to work independently from 8:00 AM to 5:00 PM Central Standard Time, Monday through Friday.

• Experience with SERVPRO is highly preferred.

• Familiarity with WorkCenter, Xactimate, XactAnalysis, DryBook, DBMX, JobTrack, or similar restoration platforms is a valuable asset.
