This is a fully remote position, open to applicants in Alabama.
• Process assigned Release of Information requests and medical records with accuracy, efficiency, and adherence to required timelines.
• Manage Continuing Care and Disability Determination Services requests, with cross-training on additional request types as needed.
• Access requests and medical records following client procedures and security protocols.
• Validate requests and signed patient authorizations to ensure compliance with HIPAA and statutory regulations.
• Classify request types and log them into the ROI software.
• Retrieve and upload the requested sections of electronic or physical medical charts.
• Conduct quality-control checks to guarantee accurate releases and prevent breaches of PHI.
• Review and adjust invoices as necessary; generate invoices and billing materials for clients.
• Release records to authorized requesting entities and reject invalid or non-compliant requests.
• Return physically retrieved records to their designated locations.
• Document exceptions, communications, and pertinent request information within the ROI software.
• Address inquiries from requestors.
• Notify supervisors regarding questionable requests, suspected breaches, delays, connectivity issues, equipment malfunctions, and security threats.
• Uphold confidentiality, security, ethical standards, and compliance with VRC, healthcare facility, HIPAA, federal/state, and labor policies.
• Keep client information current.
• Assist with additional facilities or request types during periods of backlog.
• Complete necessary training and perform other assigned duties.
• High School Diploma (GED) required; higher education is preferred.
• Previous experience in ROI fulfillment is preferred.
• Proven attention to detail.
• Demonstrated ability to prioritize tasks, organize effectively, and meet deadlines.
• Strong documentation and communication skills.
• Proven ability to maintain productivity and quality performance.
• Basic understanding of medical records and HIPAA is preferred.
• Previous experience with EHR/EMR platforms is preferred.
• Familiarity with Windows environment and Microsoft Office products.
• Strong computer skills and proficiency in Microsoft Office.
• Prior experience with printers, computers, fax machines, scanners, and microfilm reader/printers is preferred.
• Detail-oriented, self-motivated, and capable of maintaining focus on tasks for extended periods.
• Must be able to read, write, speak, and understand English.
