Quality Specialist – Certifications, Retail Testing

This is a fully remote position, open to applicants in New Jersey.

📋 Description

• Assist in ensuring compliance with certification initiatives across various brands, products, manufacturing/packaging locations, and during business transitions.

• Evaluate products, labels, formulations, ingredients, and associated documentation to ensure they meet certification standards.

• Detect compliance discrepancies and coordinate necessary corrective measures.

• Collaborate with internal teams, suppliers, contract manufacturers, and certifying agencies on applications, renewals, audits, and compliance deadlines.

• Keep track of certification records, approvals, trackers, and documentation.

• Oversee timelines, communicate progress, and escalate compliance risks as needed.

• Supervise retailer testing activities, which include reviewing requirements, tracking SKUs, managing submissions, coordinating samples, and following up.

• Prepare and submit product-related documentation, specifications, certificates, test results, and supporting materials to retailers and laboratories.

• Analyze testing outcomes and escalate any potential compliance issues or out-of-specification findings.

• Maintain records of testing, retailer portal data, approvals, and due dates.

• Assess trends, support audit preparedness, and promote continuous improvement.

⛳️ Requirements

• A Bachelor’s degree in Food Science, Food Technology, Chemistry, Nutrition, Biological Sciences, Engineering, or a related field is required; equivalent education and experience may be considered.

• A minimum of 3 years of experience in specification management, quality assurance, regulatory affairs, product development, manufacturing, technical services, or master data within a regulated industry.

• Sound knowledge of Good Manufacturing Practices (GMPs), Hazard Analysis Critical Control Point (HACCP), quality systems, food safety principles, and relevant requirements for food, dietary supplements, or other regulated products.

• Background in supporting dietary supplements, foods, medical nutrition, pharmaceuticals, or other regulated consumer goods.

• Familiarity with SAP, specification management, product lifecycle management (PLM), document management systems, or similar enterprise platforms.

• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Teams, and Visio or equivalent tools).

• Understanding of document control, label/specification review, compliance programs, and third-party certification schemes, including Non-GMO, Gluten-Free, Kosher, Halal, Vegan, Organic, NSF, and other certifications.

• Knowledge of FDA regulations, dietary supplements, food products, certification audits, and corrective action processes is preferred.

• Strong organizational, analytical, problem-solving, and risk assessment abilities.

• Capability to manage multiple priorities, deadlines, and compliance obligations.

• Proficient in interpreting requirements and translating complex information into actionable guidance.

• Experience with quality systems, certification databases, retailer portals, and digital record management is preferred.
