Proposal Specialist

This is a fully remote position, open to applicants in Illinois.

📋 Description

• Oversee assigned RFx projects from inception to completion

• Determine deliverables and collaborate with subject matter experts

• Act as the primary contact for Sales, clients, and internal teams

• Coordinate timelines, deliverables, and expectations among stakeholders

• Create, compose, and refine proposal content, including executive summaries and customized responses

• Streamline and standardize input from subject matter experts to align with HALO’s voice, positioning, and unique attributes

• Utilize AI tools for content creation, editing, and enhancing process efficiency

• Review, proofread, and assist with active projects alongside proposal team members

• Foster working relationships across teams and with stakeholders at various levels

• Ensure that responses are precise, compliant with client specifications, and consistent with brand guidelines

• Maintain uniformity in tone, messaging, and formatting throughout proposal materials

• Employ internal tools and AI resources to facilitate brand consistency and operational efficiency

⛳️ Requirements

• Minimum of 3 years of experience in the promotional products sector, ideally in account management, implementation, or related areas with cross-departmental exposure

• Exceptional written and verbal communication abilities

• Bachelor’s degree or equivalent professional experience

• Familiarity with cloud-based RFP management software, such as Responsive or similar

• Proficient in utilizing AI for writing support and process enhancement

• Highly skilled in Microsoft Word

• Competent in Microsoft Office applications, including Excel, PowerPoint, Outlook, and Teams

• Proficient in Adobe software

• Experience in managing multiple projects simultaneously

• Background in collaborating across teams and varying levels of seniority

• Proven ability to synthesize complex information into clear and effective content

• Experience in the promotional products industry is strongly preferred
