This is a fully remote position, open to applicants in Pennsylvania.
• Manage daily operations of assigned patient concierge projects until completion.
• Collaborate with PCS Coordination, Finance, IT, clients, clinical trial sites, vendors, and various Illingworth business units.
• Deliver project-specific training and supervise the work of PCS coordinators.
• Participate in handover and kickoff meetings to comprehend study indications, patient demographics, budgets, deliverables, and timelines.
• Establish trial environments within the PatientGO portal in conjunction with PCS Concierge Coordinators.
• Lead the development and translation of patient-facing materials that are ready for sites and ethics approval.
• Advise clients on the setup and management of Travel and Expense Reimbursement Policies.
• Oversee study budgets through to completion and reconciliation; generate forecasts, invoices, and performance reports.
• Recognize scope changes and secure client consent for change orders.
• Manage external vendors, ensuring adherence to service-level agreements and contractual obligations.
• Conduct monthly project evaluations that review study progress, finances, client relationships, risks, resources, and vendor performance.
• Collaborate with divisions of Illingworth Research Nursing and Medical Imaging.
• Keep and disseminate relevant industry, regulatory, and procedural knowledge.
• Prepare and distribute materials for expense reimbursement and patient welcome kits.
• Maintain project communications, facilitate meetings, and share meeting notes and action items.
• Coordinate with Research Nursing Project Leads when necessary.
• Evaluate and approve project timesheets in relation to visit trackers and budgets.
• Develop and enhance the service and team in conjunction with the Director of Patient Concierge Services and Business Development.
• Ensure efficient execution of change orders with the PCS Commercial Manager.
• Maintain centrally organized project oversight trackers and business continuity measures.
• Act as the primary point of contact for CRO and sponsor clients, trial-site leaders, vendors, and internal departments; coordinate issue management and resolution.
• Proven experience and expertise in patient concierge services and/or clinical trial project management as indicated by the role's responsibilities.
• Familiarity with clinical SOPs, Good Clinical Practice (GCP), and relevant regulatory requirements.
• Proficient in managing project budgets, forecasts, invoices, reconciliations, and change orders.
• Capable of managing external vendors in accordance with Service Level Agreements and contractual terms.
• Skilled in conducting project reviews, identifying risks and issues, and escalating them to Senior Management.
• Competent in reviewing and approving project timesheets against visit trackers and budget provisions.
• Willingness to travel domestically and internationally for face-to-face meetings with clients and vendors.
