This is a fully remote position, open to applicants in United States.
β’ Oversee project calendars, contact directories, distribution lists, meeting invitations, action logs, deliverable trackers, and controlled repositories.
β’ Create agenda packages, attendance logs, briefing materials, notes, decisions, next steps, and meeting summaries within the five-calendar-day requirement.
β’ Gather and organize inputs for monthly and annual status reports, TTA activity logs, product statuses, pilot-site updates, risks, planned work, and associated attachments.
β’ Assist in the preparation, formatting, quality review, accessibility routing, version control, approval tracking, and packaging for all deliverables.
β’ Coordinate travel request documentation, consultant approval materials, pilot-site records, event resources, purchase or vendor documentation, and reimbursement assistance.
β’ Keep records of COR comments, revisions, dispositions, final approvals, and delivery dates; ensure prior comments are addressed before resubmission.
β’ Facilitate TTA intake, assignment, scheduling, closeout, satisfaction data gathering, and resource distribution in collaboration with the Project Monitor and Project Leader.
β’ Safeguard sensitive records and adhere to approved naming, storage, access, retention, and disposal procedures.
β’ Minimum of four years of experience in administrative support, project coordination, PMO, contract support, or technical-assistance operations.
β’ Strong expertise in Microsoft 365 or similar productivity, collaboration, document-management, and virtual-meeting tools.
β’ Proven accuracy in scheduling, note-taking, document formatting, records management, deadline tracking, and multi-step approval processes.
β’ Capability to manage multiple priorities, confidential information, intricate instructions, and tight federal deadlines with minimal oversight.
β’ Excellent written communication skills and a solid understanding of accessible document and plain language requirements.
β’ An Associate's degree or equivalent professional experience is required.
β’ A Bachelor's degree is preferred.
β’ Preferred: Four or more years of relevant project support experience.
β’ Preferred: Experience providing support for an HHS, ACF, OFA, human-services, research, or TTA contract.
β’ Preferred: Experience with federal travel, consultant approvals, monthly status reports, meeting summaries, or deliverable submissions.
