Project Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Establish and manage projects in Asana, encompassing project structure, milestones, tasks, access, and documentation.

• Reconcile project budgets with assigned teams, contracts, and modifications.

• Ensure project boards, documentation, and records are accurately maintained throughout the project lifecycle.

• Track timesheets, reconcile logged hours with project plans, and identify variances.

• Maintain oversight of project burn rates, work-in-progress, and weekly budget tracking.

• Compile invoicing inputs and supporting information for the finance department.

• Ensure accurate resource allocation and forward-looking resourcing data.

• Identify and report resourcing gaps, conflicts, and over-allocations to the Production Lead.

• Transform actions from project channels, including those noted through Otter and other AI tools, into monitored Asana tasks.

• Raise issues related to scope, commercial choices, client risks, delivery quality, personnel management, or resourcing decisions to the Senior Producer or Production Lead.

⛳️ Requirements

• Over 3 years of experience in project coordination, production support, PMO, or delivery administration.

• A strong financial background with excellent financial and numerical literacy.

• Relevant experience in a digital agency, design studio, or professional services consultancy.

• Proficient in Asana, spreadsheets, Google Workspace, Slack, HubSpot, Otter, or Xero.

• Ability to confidently follow up with individuals across various levels of seniority.

• Adherence to the Organization's Information Security Management System (ISMS), including relevant information security policies, procedures, standards, and guidelines.
