This is a fully remote position, open to applicants in Oregon.

📋 Description

• Review client contract documentation and establish projects within the project accounting system.

• Ensure projects are set up accurately and promptly in accordance with internal standards.

• Oversee the complete invoicing cycle, including the creation, revision, posting, and archiving of invoice packets.

• Prepare invoices for engineering and architectural projects valued in the millions.

• Process and facilitate payments for subconsultant and subcontractor invoices.

• Monitor and manage change orders effectively.

• Collaborate with project managers to track deadlines and milestones, aligning billing with project advancement.

• Implement lump sum and time-and-materials billing methodologies.

• Analyze work-in-process and accounts receivable data.

• Conduct project closeout activities, including reconciliations and final billing procedures.

• Research and address internal and external inquiries regarding project financials and invoices.

• Act as an audit liaison by providing necessary documentation, explanations, and analysis.

• Participate in the implementation, testing, and enhancement of departmental software and tools.

• Mentor peers as a subject matter expert in project accounting systems.

• Assist with system maintenance and troubleshooting in collaboration with IT.

• Utilize advanced Excel functions for project analysis and reporting tasks.

• Maintain organized records of invoices, change orders, and project financials.

• Support diverse clients and various project types within engineering and architectural settings.


⛳️ Requirements

• A minimum of 1 year of project billing experience in an engineering or architectural firm with revenue exceeding $75 million.

• At least 1 year of experience in creating invoices for projects valued in the millions.

• A year of experience managing and billing change orders.

• At least 1 year of experience collaborating with project managers to monitor deadlines and milestones.

• Practical billing experience within an engineering or architectural firm environment.

• Strong comprehension of lump sum and time-and-materials billing practices.

• Proficiency in Deltek Vantagepoint, Deltek Vision, or BST project accounting systems.

• Advanced Excel capabilities, including pivot tables, VLOOKUP, SUMIF, and INDEX MATCH functions.

• Experience in preparing invoices for projects within engineering or architectural firms.

• Familiarity with project analysis, work-in-process reporting, project closeout activities, and managing subconsultant and subcontractor invoices.

• Ability to interpret contract terms and apply them accurately during project setup and billing.

• Strong analytical and problem-solving skills for handling complex reconciliations and financial inquiries.

• Effective communication skills for collaboration with project managers, internal stakeholders, and external clients.

• High attention to detail and precision in financial data entry, invoice preparation, and documentation management.

• An Associate or Bachelor’s degree in accounting, finance, or a related business field.

• Experience utilizing Excel macros.

• Knowledge of work-in-process analysis and accounts receivable tracking.

• Experience serving as a liaison during audits.

• Experience in supporting the implementation and testing of accounting or project management software.

• Ability to act as a subject matter expert for project accounting systems and processes.

• Comfort in managing complex, multi-million dollar projects and high-volume billing.

• Adaptability to various clients and project types in engineering and architectural domains.
