This is a fully remote position, open to applicants in Arizona.
• Act as the main point of contact between the Clinical Operations Manager and internal headquarters teams for designated accounts.
• Collaborate with operational leadership to ensure support activities align with client expectations and program objectives.
• Conduct site visits as necessary to address compliance issues, resolve workforce challenges, deliver materials, and troubleshoot equipment.
• Assist with special projects, operational initiatives, and various business requirements.
• Organize and facilitate employee onboarding and orientation processes.
• Oversee onboarding and offboarding procedures, including ticket generation and worker badge management.
• Address timekeeping and payroll-related inquiries.
• Create and manage employee schedules in web-based workforce management platforms.
• Monitor timesheets and resolve attendance or compliance issues.
• Track employee onboarding, credentialing, documentation, and training compliance.
• Provide administrative and coordination support concerning employment policies and employee experience initiatives.
• Assist with employee relations and compliance issues.
• Support managers with coaching discussions, performance improvement plans, corrective actions, and employee terminations.
• Offer coaching and guidance to frontline staff and team members.
• Manage worker-related activities in Vendor Management Systems and troubleshoot any arising issues.
• Monitor VMS performance metrics and service level expectations.
• Generate and distribute weekly and monthly reports on workforce, onboarding, staffing, and timecards.
• Review employee expense reports to ensure compliance with travel and reimbursement policies.
• Assist with recruitment and staffing initiatives.
• Support HR coordination efforts with headquarters leadership.
• Provide guidance and oversight to assigned support staff.
• Carry out additional tasks to promote operational excellence and client satisfaction.
• Associate degree or an equivalent combination of education and experience.
• At least 2 years of experience in VMS support, workforce coordination, HR support, or a similar operations role.
• Minimum of 2 years of customer service experience.
• Strong proficiency in Microsoft Office Suite and web-based workforce management systems.
• Outstanding organizational, problem-solving, and communication abilities.
• Capacity to manage multiple priorities in a dynamic environment.
• Keen attention to detail and a strong commitment to accuracy.
• Ability to handle confidential and sensitive information with discretion.
• Capability to work independently, manage time efficiently, and meet deadlines in a fully remote setting.
• Excellent written and verbal communication skills using phone, email, and virtual collaboration tools.
• Frequent use of computers and office equipment.
• Ability to file and retrieve documents and records.
• May require standing, sitting, walking, lifting, carrying, reaching, handling, kneeling, crouching, and bending throughout the workday.
