This is a fully remote position, open to applicants in Illinois.

📋 Description

• Implement a significant number of promotional pharmaceutical programs each year across one or two designated client accounts.

• Act as the primary liaison for sales representatives and speakers.

• Oversee speaker confirmations, travel arrangements, and honoraria processing.

• Identify and contract venues, as well as coordinate audiovisual services.

• Handle attendee communications and manage roster/data entry.

• Distribute meeting materials when necessary.

• Set up and provide support for web platforms such as Zoom and Microsoft Teams.

• Ensure timely completion of programs, budget reconciliation, and adherence to client financial and regulatory standards.

• Address program-related inquiries or issues in a professional and efficient manner.

• Engage in internal team meetings and contribute to enhancing processes.

• Achieve or surpass program KPIs.

• Generate and present program reports and status updates.

• Anticipate potential challenges and offer strategic, solution-focused responses.


⛳️ Requirements

• At least 3 years of experience in managing pharmaceutical speaker bureau programs.

• Demonstrated capability to execute multiple simultaneous programs under tight deadlines.

• Comprehensive understanding of pharmaceutical compliance regulations, including the Sunshine Act.

• Proficient in Zoom and Microsoft Teams, including hosting, screen sharing, breakout rooms, and troubleshooting.

• Skilled in Microsoft Office Suite (Word, Excel, Outlook) with intermediate proficiency in PowerPoint.

• High level of comfort with learning and navigating event management platforms and CRM systems.

• Outstanding organizational and time management skills.

• Strong interpersonal and relationship-building capabilities.

• Clear and professional verbal and written communication skills.

• Composed, adaptable, and solution-oriented in high-pressure situations.

• Keen attention to detail and accuracy.

• Friendly and professional customer service approach.

• Self-motivated with a strong sense of accountability and ownership.

• Ability to juggle competing priorities in a fast-paced environment.

• Willingness to work flexible hours and provide after-hours support as necessary.
