This is a fully remote position, open to applicants in Philippines.
• Manage purchasing requests from Engineering, Service, Sales, Stores, and Operations.
• Source hydraulic components, materials, equipment, and subcontracted services.
• Analyze Bills of Materials, technical specifications, quantities, and delivery priorities.
• Generate purchase orders and send them to approved local and international suppliers.
• Secure supplier confirmations, pricing, availability, lead times, and delivery dates.
• Track open purchase orders until delivery and completion.
• Assign purchased items and costs to projects, jobs, or inventory needs.
• Recognize pricing discrepancies, supply risks, and delays, and escalate issues as necessary.
• Facilitate project procurement involving multiple components, suppliers, and delivery timelines.
• Oversee long lead-time and critical items in relation to engineering and project schedules.
• Assist with inventory replenishment, overseas stock ordering, and reactive service procurement.
• Serve as the primary supplier contact across Australia, China, Europe, the United States, and other markets.
• Follow up on order confirmations, production updates, ETAs, shipment readiness, and documentation.
• Assess supplier performance on delivery, quality, responsiveness, and cost efficiency.
• Aid in supplier selection, onboarding, and due diligence processes.
• Provide procurement and delivery updates to internal stakeholders.
• Coordinate domestic and international freight with suppliers and carriers.
• Schedule freight bookings through DHL, DHL Express, and approved logistics platforms.
• Prepare or coordinate shipping, collection, export, and carrier documentation.
• Monitor shipments through delivery and maintain freight and ETA information.
• Coordinate incoming deliveries with Stores personnel.
• Address shortages, damaged goods, incorrect items, and delivery discrepancies.
• Assist with warranty claims, returns, and non-conforming product processes.
• Maintain procurement information in Tradify, MYOB, spreadsheets, and the master procurement tracker.
• Document purchase orders, item codes, supplier details, pricing, quantities, ETAs, and freight data.
• Manage the procurement mailbox and ensure purchasing requests are completed.
• Keep procurement documentation organized.
• Obtain competitive pricing and identify opportunities for cost savings and value enhancement.
• Generate reports on outstanding orders, delivery risks, and supplier performance.
• Suggest improvements to purchasing administration and supplier follow-up processes.
• Carry out other role-specific tasks as needed.
• Bachelor’s degree in Supply Chain Management, Procurement, Logistics, Business Administration, or a related field.
• A minimum of 3 years of experience in purchasing, procurement, supply chain, or a similar position.
• Hands-on experience managing purchase orders from initial request through to delivery.
• Experience in coordinating with local and international suppliers.
• Proven track record in managing supplier confirmations, ETAs, lead times, and outstanding orders.
• Ability to interpret Bills of Materials, technical specifications, and engineering documentation.
• Familiarity with international freight, shipping administration, and import processes.
• Experience in preparing or coordinating shipping and freight documentation.
• Strong skills in spreadsheet management and maintaining procurement trackers.
• Experience with an ERP, accounting, inventory, or purchasing system.
• Keen attention to detail regarding item codes, quantities, pricing, and delivery information.
• Excellent organizational skills with the ability to manage multiple open orders and deadlines.
• Strong written and verbal communication skills in English.
• Proactive in supplier follow-up, issue resolution, and risk management.
• Capability to work independently and progressively take ownership of routine procurement tasks.
• Procurement experience in hydraulic equipment, engineering, manufacturing, or industrial supply.
• Knowledge of hydraulic components, technical parts, and Bills of Materials.
• Experience in purchasing project components and subcontracted technical services.
• Familiarity with min/max inventory replenishment and stock optimization.
• Experience using Tradify, MYOB, and international freight booking platforms.
• Understanding of Australian import requirements, Incoterms, customs processes, and landed costs.
• Experience in managing warranty claims, returns, and non-conforming products.
• Work from home.
