This is a fully remote position, open to applicants in Mexico.
• Assist in coordinating portfolio and project activities to ensure alignment with PMO and organizational goals.
• Provide support to the Portfolio Analyst in Planview administration, data upkeep, reporting, and user assistance.
• Aid Project Managers in maintaining precise portfolio details, including schedules, milestones, budgets, risks, resource information, financial data, and status updates.
• Facilitate monthly and quarterly reporting through the collection, validation, reconciliation follow-up, and documentation of data.
• Collect, review, and organize portfolio and project information for management reporting and governance meetings.
• Prepare and distribute standard portfolio reports, dashboards, data extracts, and project documents.
• Monitor data integrity and address gaps or discrepancies in collaboration with Project Managers, Portfolio Leads, Finance, and other stakeholders.
• Maintain project and portfolio documentation, which includes schedules, risk logs, action item trackers, job aids, and standard operating procedures.
• Support the consistent application of portfolio management tools, processes, and reporting standards.
• Assist with user training, onboarding, and first-level support for Planview and associated portfolio processes.
• Contribute to PMO continuous improvement efforts, such as reporting automation, process simplification, and enhancements in data quality.
• Provide backup assistance to the Portfolio Analyst when necessary.
• A Bachelor's Degree is required.
• Experience in project management or coordination is preferred.
• Preferred areas of study include Chemistry, Biology, Engineering, Business, or a related field.
• Additional Project Management certifications are valued but not mandatory.
• Strong proficiency in the Microsoft Office Suite, especially in Excel, PowerPoint, Project, and project management tools such as Planview, Smartsheet, and Planisware.
• Excellent organizational and time management skills, with the ability to manage multiple projects simultaneously.
• Outstanding written and verbal communication abilities.
• Detail-oriented with strong capabilities in documentation and process management.
• Experience with quality systems and GMP compliance is preferred.
• Capacity to work independently while effectively collaborating with cross-functional teams.
• Strong analytical and problem-solving skills are essential.
• Proficiency in English is required; additional languages may be necessary based on location.
• Experience with project management software and tools.
• Capability to identify and mitigate risks while maintaining project timelines.
• Strong customer service orientation complemented by excellent interpersonal skills.
• Flexibility to adapt to changing priorities and deadlines.
• Understanding of relevant industry regulations and standards.
• Experience in the pharmaceutical, healthcare, or scientific fields is preferred.
