This is a fully remote position, open to applicants in United States.
• Offer both technical and administrative assistance to field and operations personnel.
• Organize project assignments, set-up, communication, scheduling, coordination, preparation, and completion.
• Align schedules with vendors, clients, and both internal and external teams.
• Create project progress reports that outline issues and solutions for stakeholders.
• Monitor data using web-based project management tools.
• Receive and disseminate Client Supplied Material (CSM).
• Reach out to municipal departments for project-related information.
• Conduct document research on client-supplied materials.
• Submit and manage check requests for municipal data and information.
• Track and acquire outstanding municipal data and information for zoning and SIR reports.
• Process and obtain FLEX IDs for onboarding new vendors.
• Compose technical zoning reports and SIRs based on municipal research.
• Relay necessary information and anticipated delays to stakeholders.
• Update reports upon receiving additional municipal information.
• Provide zoning-related information directly to clients.
• Lead responses to client inquiries and requests after delivery.
• Identify efficiencies in workflow and technological solutions.
• Uphold confidentiality regarding company information.
• Ensure timely and proactive customer service.
• Adhere to company policies, procedures, work instructions, and quality standards.
• Maintain a clean and safe work environment.
• Travel as required by essential duties and responsibilities.
• Work overtime with prior authorization from a supervisor when necessary.
• A high school diploma or General Education Diploma (GED) is mandatory.
• Some college education is preferred.
• A minimum of two years of experience in an administrative role is required.
• Ability to read, analyze, and interpret project or technical documents, technical procedures, or governmental regulations.
• Capability to write reports, business correspondence, and procedure manuals.
• Proficiency in presenting information and answering questions from clients, peers, and technical field staff.
• Skills to define problems, gather data, establish facts, and draw valid conclusions.
• Proficient in word processing, spreadsheet, and project management software.
• Strong time management, active listening, critical thinking, problem-solving, and both oral and written communication abilities.
• Must be capable of working independently as well as collaboratively in a team environment.
• A personal cell phone and internet service are required.
• Must be able to meet the physical demands associated with the position.
