This is a fully remote position, open to applicants in United States.

📋 Description

• Manage the intake process for Brands Services initiative requests by logging, classifying, routing, and tracking their status against turnaround targets.

• Prepare triage packets and keep decision logs to ensure the rationale for prioritization is traceable.

• Develop and sustain the portfolio reporting framework that includes status updates, milestones, and overall health.

• Streamline manual reporting processes through automation.

• Generate executive-ready analyses and KPI reports that focus on necessary decisions and variance drivers.

• Maintain the initiative inventory of record, detailing owners, success criteria, milestones, and definitions of completion.

• Oversee the dependency register and risk/issue log.

• Raise any risks and issues that exceed defined thresholds before milestones are jeopardized.

• Organize agendas, pre-reads, and status packets for governance forums.

• Document and follow up on decisions and action items.

• Uphold PMO templates and standards.

• Collaborate with initiative owners to ensure portfolio data is current and accurate.

• Utilize AI, data, and scalable processes to enhance productivity, decision-making, automation, and outcomes.


⛳️ Requirements

• Minimum of 2 years of experience in program or project coordination, PMO operations, business operations, or an analyst role focused on initiative or portfolio reporting.

• Proven experience in creating and managing status or performance reports for leadership.

• Practical experience with project or work management tools such as Jira, Asana, Monday.com, Smartsheet, or similar, including building views, dashboards, and reports.

• Advanced skills in Excel or Google Sheets, encompassing pivot tables, lookups, and multi-source data consolidation applied to portfolio or KPI analysis.

• Experience in tracking risks, issues, and dependencies across multiple concurrent initiatives.

• Experience in preparing meeting materials, pre-reads, or decision documents for senior stakeholders.

• Familiarity with AI tools such as ChatGPT, Copilot, or Claude for drafting communications, data analysis, prompt engineering, and/or documentation.

• Preferred 3+ years of experience in PMO operations, program management, or business operations.

• Preferred Bachelor's degree in a relevant discipline or related field.

• Preferred experience in a SaaS, technology, or e-commerce organization.

• Preferred experience with business intelligence or visualization tools such as Power BI, Tableau, or Looker.

• Preferred experience with workflow automation tools like Power Automate or Zapier.

• Preferred experience supporting an annual or quarterly planning cycle from start to finish.

• Strong written and verbal communication skills are preferred.

• Ability to distill detailed information into a concise executive summary is preferred.

• Comfort with ambiguity and a tendency to structure undefined tasks is preferred.

• Up to 10% travel may be required.
