This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the intake process for Brands Services initiative requests by documenting, categorizing, routing, and monitoring status against turnaround objectives.

• Create triage packets and maintain decision logs to ensure that prioritization rationale is easily traceable.

• Develop and sustain the portfolio reporting framework, which includes status updates, milestones, and overall health.

• Streamline manual reporting processes through automation.

• Generate executive-level analyses and KPI reports that focus on essential decisions and variance factors.

• Keep the initiative inventory of record up-to-date, including details on owners, success criteria, milestones, and definition of completion.

• Manage dependency registers and logs for risks and issues.

• Raise risks and issues against established thresholds prior to milestones being at risk.

• Prepare agendas, pre-reads, and status packages for governance meetings.

• Document and follow up on governance decisions and action items.

• Maintain PMO templates and standards.

• Collaborate with initiative owners to ensure portfolio data is accurate and current.

• Utilize AI, data, and scalable processes to enhance productivity, decision-making, and project outcomes.


⛳️ Requirements

• A minimum of 2 years' experience in program or project coordination, PMO operations, business operations, or an analyst role focused on initiative or portfolio reporting.

• Proven experience in creating and maintaining status or performance reports for leadership.

• Practical experience with project or work management tools such as Jira, Asana, Monday.com, Smartsheet, or similar, including the ability to create views, dashboards, and reports.

• Advanced skills in Excel or Google Sheets, including pivot tables, lookups, and multi-source data consolidation, specifically applied to portfolio or KPI analysis.

• Background in tracking risks, issues, and dependencies across multiple simultaneous initiatives.

• Experience in preparing meeting materials, pre-reads, or decision documents for senior-level stakeholders.

• Familiarity with AI tools like ChatGPT, Copilot, or Claude for drafting communications, conducting data analysis, prompt engineering, and/or documentation.

• Preferred: 3+ years of experience in PMO operations, program management, or business operations.

• Preferred: Bachelor's degree in a relevant discipline or related field.

• Preferred: Experience in a SaaS, technology, or e-commerce company.

• Preferred: Familiarity with business intelligence or visualization tools such as Power BI, Tableau, or Looker.

• Preferred: Knowledge of workflow automation tools like Power Automate or Zapier.

• Preferred: Experience supporting an end-to-end annual or quarterly planning cycle.

• Strong written and verbal communication skills, with the ability to summarize detailed information into a concise executive summary.

• Ability to work comfortably in ambiguous situations and a tendency to structure undefined tasks.

• Up to 10% travel may be required.
